How you will make a difference
- Perform administrative functions in support of the Lead Workforce Management Specialist and the facilities in a timely manner in order to enhance the effectiveness of the facility and the organization as a whole.
- Provide support in functional areas which may include filing, special copying projects, resolving customer service concerns and other general administrative duties as required.
- Meet physical and sensory requirements stated below and be able to work in the described environment.
- Identify and participate in process improvement initiatives that improve the customer experience, enhance workflow, and/or improve the work environment.
- Develop, maintain, and generate reports using HRIS software including scheduling tools.
- Track attendance in scheduling software and provide attendance reports to facility leadership.
- Proactively keep the Senior Workforce Management Specialist up to date on all staffing concerns.
- Create and maintain schedules for the assigned region(s) and/or assigned locations.
- Escalate customer service concerns to the Senior Workforce Management Specialist and assist in resolving concerns.
- Analyze staffing levels for assigned areas and work with locations to proactively resolve potential staffing issues.
- Analyze labor data and collaborate with assigned area(s) and/ or assigned locations to manage overtime and external agency usage.
- Assist assigned area(s) in filling staffing needs utilizing HRIS software and tool as applicable.
- Coordinate scheduling software training as needed for facility leadership and direct care stakeholders.
- Participate in an on-call rotation and provide support, as needed.
- Other special projects and duties, as assigned.
- Meet physical and sensory requirements stated below and be able to work in the described environment.
- High school diploma or GED required.
- Minimum of (2) years long term care or related health care experience.
- Effective verbal and written English communication skills.
- Demonstrated advanced skills in Microsoft Word, Excel, Power Point and Outlook, Internet, and Intranet navigation.
- Highest level of professionalism with the ability to maintain confidentiality.
- Ability to communicate at all levels of organization and work well within a team environment in support of company objectives.
- Customer service oriented with the ability to work well under pressure.
- Strong attention to detail and accuracy, excellent organizational skills with ability to prioritize, coordinate and simultaneously maintain multiple projects with high level of quality and productivity.
- Strong analytical and problem-solving skills.
- Ability to work with minimal supervision, take initiative and make independent decisions.
- Ability to deal with new tasks without the benefit of written procedures.

- You’ll work mostly indoors on floors that are tiled or carpeted.
- You’ll be around other co-workers, residents, and their guests.
- You’ll have possible exposure to occasional slippery floors, chemicals, sharp objects, and hazardous materials and waste (including human), blood borne pathogens, and communicable diseases.
- You'll be around possible high-stress medical and/or life-threatening situations.
- This role requires moderate physical activity.
- Requires handling of average-weight objects up to twenty-five (25) pounds.
- Standing and/or walking for more than two (2) hours per day.
- Sitting for more than two (2) hours at a time.
- Bending and/or stooping for more than one (1) hour at a time.
- Requires writing and/or computer work with repetitive typing and concentrating on computer screen and/or documents for more than two (2) hours at a time.
