About the position

TJFACT is seeking to hire a Senior Supply Technician to join our team in Minneapolis, MN!

Based on pending vaccination mandated legislation, we recommend employees are vaccinated prior to working for TJFACT.

Senior Supply Technician serves as liaison between vendor staff and the VA Health Care System Logistics Service Line. The Senior Supply Technician will ensure supplies and materials are distributed to all areas serviced by junior supply technicians to provide wards, clinics, operating rooms, secondary storage locations, and other hospital facilities with supplies and material including but not limited to, sterile and non-sterile medical supplies, instrument sets, and equipment.

Duties & Responsibilities:

  • Distribute and balance tasks among junior supply technicians in accordance with established workflow or job specialization and assures timely accomplishment of tasks.
  • Monitors junior supply technicians’ status and progress of work and makes day-to-day adjustments to meet the requirements of this task order.
  • Maintains current knowledge of task order requirements and answers questions of junior supply technicians on procedures, policies, directives, or other guidelines as necessary and obtains needed information or decisions from VA Healthcare System.
  • Ensures junior supply technicians are maintaining stock at primary and secondary inventory locations for all clinical and administrative services, including pulling stock inventory and material from inventory for delivery, replenishing stock inventory, interacting with customers to resolve issues, maintaining records on stock levels, etc.
  • Monitors the junior supply technician’s performance -inventory using bar code equipment and resolves differences between records and physical count of stock.
  • Monitors junior supply technicians - ensuring areas are cleaned in accordance with aseptic principles as published in infection control guidelines, local Standard Operating Procedures (SOPs), and Joint Commission standards as scheduled.
  • Monitors junior supply technicians are receiving supplies and materials into the catchment area including unpacking/uncrating supplies from shipping cartons; storing supplies and materials; and ensuring sterility and integrity of the supplies and material as well as the data integrity of the inventory management system; and
  • Monitors junior supply technicians are working with clinical and administrative customers as well as outside vendors with tact and diplomacy to coordinate tasks and resolve operating issues pertaining to supply management requirements.
  • Maintains junior supply technicians TMS trainings
  • Ensures junior supply technicians are compliant with the influenza shot policy per VHA 1192.01 directive.
  • Ensures junior supply technicians maintain customer and professional contact. Daily contacts are made with clinical staff that uses medical supplies, along with other Logistics personnel; all contacts require tact and diplomacy. Works with clinical and administrative customers as well as outside stakeholders such as vendors to obtain information regarding clinical supplies.
  • Monitors pre-planned absence of junior supply technicians to have adequate coverage for all VA Facilities were junior supply technicians tasked to support.
  • Ensures all junior supply technicians are signing in and out for schedule shift at each facility location. The Senior Supply Technical will email the sign in sheets to COR at the end of each week in order to validate invoices.
  • If for any reason the junior supply technicians are unable to provide these services or is going to be late to provide these services, the senior supply technician shall notify the facility point of contact through the appropriate VA facility point of contact notification procedure. This is necessary so that arrangements for coverage can be made. Notification should be at least twenty-four (24) hours in advance of scheduled start time; however, VA medical facility may set a different minimum standard for notification. The notification requirement applies to each day of absence.

Delivery Schedule

  • Verifies daily that staff have maintained daily maintenance of stock for the facility they are stationed.
  • Verifies daily that staff have maintained daily stock level records.
  • Verifies daily that staff have maintained daily stock level recommendations.
  • Verifies daily that staff have maintained daily monitoring and rotation of stock and critical supplies.
  • Verifies daily that staff have maintained daily notification of significant deviations.
  • Verifies daily that staff have maintained daily inventory of primary and inventory points.
  • Verifies daily that staff have maintained daily resolution of differences between records and physical stock.
  • Verifies daily that staff have maintained daily products and shelves marked with corresponding identification numbers and update labels as required.
  • Verifies that staff have done daily breakout room and restocking primaries.
  • Verifies staff have done daily cleaning and checking of inventories for expiration dates based on local Standard Operating Procedures (SOP).
  • Verifies that junior supply technicians have completed daily update cleaning logs for all inventories per local SOP.
  • Verifies that junior supply technicians have completed daily support wall to wall and periodic inventories.
  • Verifies that junior supply technicians have completed daily scan assigned inventories and upload data in generic inventory package (GIP).
  • Verifies that junior supply technicians have completed daily pull assigned pick tickets accurately.
  • Verifies that junior supply technicians have necessary TMS training has been completed.
  • Verifies all junior supply technicians are compliant with the Flu vaccination requirements per VHA directive 1192.01.
  • Verifies junior supply technicians are providing customer service and professionalism with all clinical staff that uses medical supplies, along with other Logistics personnel; all contacts require tact and diplomacy. Works with clinical and administrative customers as well as outside stakeholders such as vendors to obtain information regarding clinical supplies.
  • Verifies pre-planned absence of junior supply technicians to have adequate coverage for all VA Facilities were junior supply technician are scheduled.
  • Verifies all junior supply technicians are signing in and out for schedule shift at each facility location. These sign in sheets will be emailed to COR at the end of each week.
  • Verifies and provides notification to the appropriate VA facility point of contact at least 24 hours in advance for any reason the junior supply technicians is unable to provide these services or is going to be late to provide these services.

Required Skills

  • 2+ years of Supply Technician experience
  • Ability to supervise and/or oversea 10 or more Junior Supply Technicians

Preferred Experience

  • Previous experience working directly for or within collaboration with the VA.
