PGS is looking for a talented Training Coordinator that will be responsible for overseeing our client’s training program and ensuring that the organization is compliant with DoD’s policy.
You will be responsible for providing an engaging learning experience. In addition, you will be in charge of retaining and updating materials that can continue to support staff learning experience after initial training is completed.
Success in this role looks like managing, monitoring, and reporting on all required trainings. In this role you will be expected to drive work independently, be able to develop relationships with multiple stakeholders, accurately prioritize responsibilities, coordinate with multiple stakeholders, and organize and communicate information in a concise manner.
Responsibilities:
- Manage the timely coordination of trainings by opening registration, maintaining enrollment rosters, sending registration confirmation emails, and ensuring the messaging is consistent across the set of multi-media training materials such as PowerPoint presentations, video etc.
- Maintain a working understanding of the policy issues, coordination responsibilities, and response operations that contribute to the training strategy for external partners.
- Support other members in analyzing training needs and requirements to develop new training programs or modify and improve existing programs.
- Manage and operate event management software.
- Conceive and implement automated methods (e.g., mail merge, templates, etc.) to streamline repetitive processes.
- Collate feedback from interagency training evaluations, creating analytical documents reflecting feedback and archiving evaluations for posterity.
- Maintain training course calendar and electronic (server and online) files and update the database/historical record of all courses.
- Build solid cross-functional relationships and maintain internal and external relationships.
- Assist in planning, developing, and providing training using knowledge of the effectiveness of methods such as classroom training, demonstrations, online platforms, meetings, conferences, and workshops.
- Prepare and assemble interagency training materials to include printing, collation, and lamination of training materials, participant binders, case studies and all other materials for all interagency trainings throughout the year.
- Manage inventory of and maintain adequate stocks of training materials, tracking required supplies and requesting new procurements as needed.
- Serve as main liaison for training sites and other host venues.
- Coordinate and schedule training support required from other office members, including the Information Technology (IT) team to ensure that all technical elements of the training (e.g. slides, video, VTC, etc.) are set up for delivery during trainings.
- Coordinate logistics and ensure transport of all needed materials for interagency trainings, setting up and breaking down training spaces.
- Regularly report and provide updates on the status of work, planned work and timelines.
- Provide technical support, troubleshoot, and address issues or requests.
- Manage user groups, catalogs, learner enrollment, prerequisite-based content relationships, and learning paths, as needed.
- Identify, document, and implement processes, policies, and procedures to ensure ongoing effective use of the LMS.
QUALIFICATIONS:
- Must have at least 3 years of experience with a Master’s degree, 4 years of experience with a Bachelor’s degree, or 6 years of experience without a degree. Additional advanced degrees may be used to replace years of experience.
- Progressively responsible experience with organizing, scheduling, coordinating, and managing training courses or other events/meetings, especially in a dynamic, fast-paced work environment that requires attention to details and executive-level customer service.
- Familiarity with a content management system is preferred.

- Ability to coordinate with a multitude of stakeholders and build strong working relationships
- Meticulous attention to detail and follow-through is a must; performs tasks with high degree of accuracy, efficiency, and timeliness
