In the position as a Tool Room and Maintenance Administrator, you will be providing administrative support and assistance to the Tool Room and Maintenance Departments.


Essential Job Duties and Responsibilities will include:

  • Ensuring all work orders are accurately signed and ready for production daily
  • Checking and assisting with all requests from customer service and Engineering, providing status, completion dates, etc.
  • Scheduling toolroom and maintenance departments activities and balance workload
  • Communicating completion dates, and schedule changes, to all stakeholders
  • Spare inventory management and maintaining Kanban system
  • Mold and equipment status report management, inclusive of supplying customers with mold and equipment health reports
  • Administer preventive maintenance process to ensure compliance to standards
  • Management of open work order list and implementation of a preventive maintenance system
  • Run weekly labor reports to assure each employees hours are accounted for and correct GL# are assigned to work completed
  • Monitor all ERP workflow trainings for personnel to ensure timely completion
  • Populate month end labor data as needed for accounting with accurate project numbers and GL# information for each employee
  • Support CAPA activities
  • Generate customer quotes including working up all associated costing
  • Oversee the ordering and shipping of components to and from vendors
  • Populate monthly performance metrics for the department and help identify areas of improvement
  • Generate purchase orders for vendors for outside services
  • Order and track general supplies along with mold components based on inventory
  • Perform other duties as assigned

Essential Qualifications:

  • A High School diploma or equivalent and two years’ experience in a business or similar setting
  • Demonstrated strong customer service skills
  • Previous experience using ERP Systems
  • Ability to handle multiple tasks and set priorities
  • Excellent communication and interpersonal skills
  • Proficient using Microsoft Word and Excel, Solid Works not required but would be a plus
  • Demonstrated effective interpersonal and communication skills, including written communication

Desirable Qualifications:

  • Experience within the medical device industry and/or injection molding
  • Previous experience with lean manufacturing concepts

ADA Requirements:

  • Typically sits, grasps items and performs keyboarding for frequent operation of a computer
  • Stand, walk, bend, reach or otherwise move about regularly
  • Lift, move, or otherwise transfer items up to 40 lbs. occasionally, >20 lbs. frequently
  • Occasional exposure to typical machine shop physical hazards
