HOURS/DAYS SCHEDULE: Tuesday-Saturday Full time 86.76 hours per pay period
POSITION SUMMARY:
The Program Engagement supervisor, working as part of the Sports Team, will deliver professional customer service and relationship building skills to create a welcoming and safe environment at the YMCA by upholding the YMCA sports rules and philosophies. They will possess a number of technical skills and knowledge in a wide range of sport activities, providing legendary customer service by executing all programs within the framework of each sport model and the YMCA mission. The incumbent will also exhibit the core values of caring, honesty, respect and responsibility in all aspects of their work with the YMCA.
ESSENTIAL FUNCTIONS:
- Facilitate the organization, management and operation of quality sports programs that follow the YMCA sport models and pillars of YMCA sports.
- Grow sport programs through quality programming, marketing and cross selling of programs, and create new innovative programs and services that meet the community needs.
- Direct, delegate, motivate, mentor and supervise facility supervisors, officials, gym supervisors and scorekeepers to achieve department and program goals.
- Build relationships (along with Athletic Director) with school districts, park and recreation administrators and other any other representatives to expand the YMCA programming and quality of programs to all youth in the service area.
- Follow and enforce all YMCA procedures and policies, including: YMCA sport models and sport specific rules, personnel guidelines, safety guidelines, facility access procedures and membership policies. Carry out emergency plans as necessary.
- Maintain a clean and safe playing environment. Take initiative to clean up/repair areas, do proper work orders or notify necessary persons to correct any problems.
- When needed or necessary the sport coordinator may also be responsible for specific sport facilities and will be the primary supervisor for the site (encompassing all the duties of a facility supervisor).
- Recruit, train and teach all volunteer coaches in the YMCA philosophy and coaching techniques. Obtain correct and complete volunteer applications and contact volunteer references.
- Evaluate new coaches at least once during the season and provide them with feedback.
- With the Athletic Director, meet department revenues and net income budget, control expenses and continue to grow programs.
- Run and manage branch reports like program numbers and accounts receivables as well as seasonal program discount reports, address and email address lists.
- Write seasonal newsletters for each sports branch
- Responsible for maintaining volunteer data base including tracking volunteer’s paperwork and trainings, seasonal reports and audits.
- Attend and remain current on all mandatory trainings and staff meetings.
- Be knowledgeable and supportive of the YMCA annual support campaign.
- Any other duties as assigned
WORK ENVIRONMENT & PHYSICAL DEMANDS:
- While performing the duties of Program Engagement supervisor, the employee is frequently required to stand, walk, run, climb, balance, stoop, kneel, crouch, talk, hear, and will frequently use arms and hands to reach and handle or feel objects.
- The employee may be asked to occasionally lift up to or move 100 pounds.
- The employee may regularly require close and distant vision, color vision, peripheral and depth perception, and the ability to focus.
- The noise level in the work environment may be moderate to high.
- The employee is occasionally exposed to wet and/or humid conditions, extreme cold or hot and outdoor weather conditions.
INTERSPERSONAL DUTIES AND RESPONSIBILITIES:
- Perform and provide excellent customer service skills by exceeding member/participant expectations! Consistently greet every person who enters the YMCA (by name, if known) and recognize all members and guests when they leave.
- Engage in active listening with members and program participants in order to build relationships, understand individual’s goals and interests, and take the initiative to ensure the member has a positive experience.
- Provide accurate information about membership and programs.
- Help prospects and members experience the YMCA by introducing them to other staff and members. By creating these interactions, we will demonstrate that the YMCA is a place where we take the time to connect, communicate and engage in respectful and friendly relationships. Develop new opportunities for members to interact with one another.
- Be a “Relationship Builder” for the YMCA.
- Be familiar with the mission statement and core values of the YMCA. Model the core values while working and communicating with other staff members.

- Bachelors degree in Physical Education, Recreation Management or related field from an accredited college or university and/or at least one year of experience working with youth and/or adult athletic programming.
- Experience and knowledge of sports, computers and flawless organizational and record keeping abilities.
- Strong customer service, problem solving and communication skills with the ability to relate well to participants, coaches, and families.
- Possess a positive and professional attitude.
- Strong experience in computers required, including word processing, data entry and spreadsheets.
