The Office of Student & Parent Loan Programs (the “department” or “office”) is part of the larger Treasury Services organization, which is led by the Associate Vice Chancellor for Finance & Treasurer. The Office of Student and Parent Loan Programs consists of eight staff members and manages an average of over 6,000 federal, private, and institutional loans totaling in excess of $60 million dollars towards educational funding for graduate and undergraduate students and families on an annual basis. In addition, the department oversees central finance funding availability and risk for an institutional loan portfolio consisting of over 5,300 loans, which totals approximately $80M of outstanding loans.Our mission is to serve undergraduate and graduate students and parents, educate and inform prior to taking a loan, ensure understanding and preparedness to begin repayment, monitor timely repayment, and assist when “life happens” at any time during repayment. In addition, the department serves internal WashU partners, providing solutions and support in offering attractive institutionally-funded financing options to students, parents, and staff in order to achieve university goals, and provide collection services to ensure timely repayment.
The Supervisor, Loan Programs Administration is responsible for oversight of student and parent loan processing from application to disbursement, efforts to educate and inform students and parents of federal, private, and institutional educational loan options, and ensuring student and parent borrower understanding and preparedness to begin repayment. This position will:
- Directly manage three loan administration professionals within the Loan Programs Administration area within the department.
- Work closely with parents and families to help them understand the Partners in Education with Parents (PEP) program features and benefits to make an informed decision regarding participation in this unique program. PEP is a University-funded parent financing program that offers annual loans, multiyear loans, and a prepayment option to assist parents of undergraduate students in planning for a four-year undergraduate education at WashU.
- Coordinate PEP loan processing activities, which include analysis of credit risk, loan approval, origination and disbursement, invoicing prepayment receipts, and administering established plans throughout the student’s education.
- Ensure proper due diligence and documentation in accordance with Federal regulations, controls, and procedures related to federal, private, and institutional student and parent loans, and university accounting of loan programs.
Job Description
Primary Duties & Responsibilities
- Manage loan administration of federal, private, and institutional loan programs utilized by students and parents. Institutional loan product offering includes undergraduate, graduate, international, and Partners in Education with Parents (PEP) programs. Responsibilities include providing leadership, support, planning, development, and staffing. Assist direct reports in collaborations with university schools and departments, and in monitoring activity within the Loan Management System and integrated university systems, which include the University’s financial accounting and enrollment/billing systems (Workday FDM and Student) and financial aid system (PowerFAIDS).
- Primary point-of-contact for the university’s parent financing program, Partners in Education with Parents (PEP). Includes application review and underwriting for new accounts, as well as facilitating adjustments to borrowers’ accounts throughout the life of the plan, as needed. Responsible for overseeing institutional loan communication plan, origination of borrower accounts on the university’s loan billing servicer (University Accounting Service, LLC), and the transition of borrower service to Collection Services.
- Responsible for the preparation and presentation of year-end analysis for PEP Annual Meeting and PEP Advisory Team Meetings. Prepare market research, recommending changes to loan program interest rates and terms, as needed. Facilitate informative annual meetings for each institutional loan program, and collaborate to develop new and innovative institutional loan programs that meet departmental needs or support current initiatives.
- Serve as a knowledgeable resource regarding University’s financial systems (Workday FDM and Student). Create, review, and approve transactions in Workday including: journal entries, ad hoc payments, cash sales, and bank transfers. Work with department leadership to continually seek process improvements and system enhancements for efficient and quality loan administration reporting and analysis.
- Ensure proper and current loan administration documentation and procedures are maintained. Adhere to Department of Education (DOE) and Family Educational Rights and Privacy Act (FERPA) guidelines. Participate in routine review of loan promissory note and disclosures, as needed.
- Maintain strong and positive working relationships with various departments at the university, including Student Accounting, schools, Office of General Counsel and Student Financial Services. Work directly with managers and directors in these areas.
- Perform other duties as assigned.

- Advanced degree in a related field is a plus.

- Familiarity a plus: Workday Finance/Student, Loan database/systems, UAS loan servicing system, Tableau reporting, Maestro communications system, Docusign, Outlook, Microsoft Word, Excel, etc. NSLDS and FSA federal loan web services. ELM private loan service.
Required Qualifications
- Bachelor's degree in accounting, business or other related discipline and three years of professional experience in accounting or business operations.
- Equivalent combination of education and experience will be considered.

G12Salary Range
$55,600.00 - $94,900.00 / Annually The salary range reflects base salaries paid for positions in a given job grade across the University.
