The Student Employment HR and Payroll Assistant assists in the coordination and administration of student on-campus employment. This position involves heavy data entry, document management, and interaction with students, staff, and faculty. This position reports directly to the Student Employment and Department Coordinator. Job can be performed remotely or hybrid with a reliable computer and internet connection.
Location Los Angeles, CA (Westchester) Essential Duties Summary
- Process all new Student Employment Work Agreements (SEWAs) as positions on campus are filled, re-process SEWAs each semester for continuing student employees, and process changes to any part of the SEWA (including pay rate changes, job codes, budget codes), following up with hiring managers, students, and payroll to ensure data is correctly input and each workflow is completed in a timely manner, culminating in over 800 SEWAs processed annually.
- Review and process payroll documents (W4) for input into a centralized student information database (Banner). Ensure paperwork complies with federal and state regulations (I9s), including for international students (SSN and I20). Ensure accuracy of student data entered by following established policies and procedures.
- Establish and maintain student files and records which may contain confidential information. Ensure reconciliation and/or quality control of records.
- Serve as the initial contact for student payroll and employment questions. Interface with a variety of administrative and academic departments to resolve student payroll and employment issues. Convey information to student employees and/or hiring managers when appropriate or refer individuals directly to the appropriate office.
- Answer general policy and procedure questions regarding student employment (i.e., employment requirements, academic status requirements, job related requirements, timekeeping, etc.) Inform students in a timely manner of job statuses (open or filled) and next steps if applicable.
- Partner with the Student Employment and Department Coordinator to administer on-campus Federal Work Study funds in coordination with Student Financial Services.
- Maintain currency and compliance with all College policies and procedures and applicable state, federal and local laws, regulations, and policies related to student employment.
- Report any discrepancies to Student Employment and Department Coordinator.
- Develop student job descriptions, post positions, and on-board hired students. Evaluate applicant qualifications upon request and refer qualified applicants to hiring managers as appropriate.
- Compile data for special projects, studies, or reports as needed. Track departmental statistics (i.e., placement activity statistics, total student work hours) and prepare reports. Query a centralized database (Banner) for generating reports.
- May make timekeeping adjustments, oversee the approval of student employee hours worked and balance of sick time in TimeClockPlus (TCP).
- May attend events to oversee assigned activities and ensure details are handled as planned. May help coordinate the production and/or distribution of promotional materials.
• High school diploma required, or combination of experience/education as substitute for minimum education requirement. • At least 2 years of prior experience in Student Employment, Human Resources Management, Payroll, financial, clerical and/or administrative support is required. • Must have knowledge of federal and state regulations related to employment. • Must be comfortable with data entry and data management. • Must be highly organized, detail-oriented, and able to meet strict deadlines. • Must be able to work independently with minimal supervision. • Must have excellent verbal and written communication skills. • Must be highly customer service oriented and able to establish a friendly and helpful environment with ability to build immediate rapport with students, faculty, and staff. • Must be able to maintain a high level of professionalism in a fast-paced, deadline-driven environment. Strong computer skills required.
Preferred Qualifications
- Bachelor’s degree preferred in Human Resources Management, Payroll, or related topic.
- Experience with HR Banner Module is a plus.
