General Description: Serves as a vital member of the Veterans Employment Services Department of the Texas Veterans Commission. Provides moderately complex (journey level) department administrative support, external and internal customer service, coordinate department DOL mandatory training and technical assistance. Work involves planning and coordinating several staff services functions such as managing travel accounting, requisitioning, training, property management, and preparing and managing department confidential documentation, human resources which includes leave requests, timesheets, Family Medical Leave Act documents, Personal Action Forms (PAFs) and Performance Planning and Reviews (PPRs). Work consists of coordinating travel plans and reservations. Assist in conducting department data research and analyzes for reports and documents. Work under general supervision, with limited latitude for the use of initiative and independent judgment. To promote a strong environment, TVC maintains a telecommuting policy. The policy is decided by division and contingent on continued performance.
Essential Duties and Responsibilities:
- Provides administrative support and technical assistance for the District Manager and District staff of Veterans Employment Services (VES).
- Prepares confidential material, correspondence, memos, reports, emails, and spreadsheets working from a draft and/or from transcribed data.
- Conducts research, collects, and analyzes data to prepare reports and documents.
- Arranges and coordinates meetings and events.
- Transcribes meetings or interviews and documents information.
- Coordinates and interacts with internal staff at all levels.
- Reviews operating practices and suggests and implements improvements.
- Drafts responses for routine and non-routine correspondence to include legislative and constituent inquiries.
- Coordinates travel arrangements for District Manager and District staff. Assists (offsite and onsite) District staff with Travel Authorization forms and reviews travel vouchers.
- Prepares and reconciles travel vouchers for the District Manager and District staff. Reconciles the VES state travel card purchases.
- Schedules and maintains work and events calendar for the District Management and management team.
- Works effectively with a variety of individuals, groups, and stakeholders.
- Answers inquiries regarding procedures and policies, and provides routine information to the public by mail, email, web, or telephone.
- May assist in researching, writing, designing, proofing, or editing agency publications such as brochures, forms, manuals, reports, and charts.
- Maintains confidentiality of sensitive information.
- Prepares and reviews operational and special reports.
- Composes, reviews, and edits technical documents, material, and reports.
- Maintains files and records.
- Performs complex typing and/or word processing/data entry.
- Assists in compiling statistical data and preparing various charts, graphs, and written summaries.

Minimum Education: Associates degree from an accredited college or university or have completed 60 credit hours of college-level coursework from an accredited college or university. Experience may be substituted for education on a year-by-year basis. College transcripts must be attached to application.
Experience: A minimum of two years’ experience in office management, clerical support, administrative support, or executive support work is required. A minimum of 2 years’ experience in Microsoft Excel, Word, PowerPoint, Outlook, and Access databases and conducting internet research is required.
Additional Requirements: A valid Texas Driver’s License is required.
Preferred Experience and Qualification:
- Bachelor’s Degree preferred.
- At least one-year experience entering requisitions and acting as time administrator using the Texas Centralized Accounting and Payroll/Personnel System (CAPPS) is preferred.
- Experience working for a state agency or nonprofit is preferred.
- Honorably discharged veteran preferred.
- Customer Service experience preferred.
Knowledge, Skills, and Abilities:
- Knowledge of business English, grammar, spelling, and punctuation.
- Knowledge of office practices and administrative procedures.
- Skill in the use of standard office equipment and software.
- Ability to handle high-level administrative issues.
- Ability to analyze and solve work-related problems.
- Ability to communicate effectively both orally and in writing.
- Ability to work effectively with a variety of individuals, groups and stakeholders.
- Ability to type at least 40 WPM.
Environmental & Physical Conditions:
Normal office work environment, mostly sedentary in nature. May involve walking; standing; remaining stationary for long periods of time; pulling and pushing; kneeling, stooping, and bending; and safely lifting and carrying items weighing up to 30 pounds. Work involves extensive telephone usage and repetitive hand/wrist/finger motions while using the computer.
