The PILOT Learning Program is an academic support program housed in the Krieger School of Arts and Sciences Office of Academic Advising and Support. PILOT supports gateway courses that are taught in large lecture format and includes outreach to the following subjects: math, chemistry, applied math, computer science, economics, public health, foreign languages, and physics. The program helps students academically and socially as they transition to college life. Within each PILOT session, a trained leader works to foster a collaborative learning environment by utilizing various engagement strategies. This voluntary program supports approximately 60% of the students taking each course that is served. Each group is comprised of 10-12 students and is led by a peer leader, an upperclassman student who has taken the course, and each group meets for two hours each week for the entire semester.

We are Seeking a Sr. Academic Support Coordinator who will be responsible for providing logistical, administrative, and strategic support to the Assistant Director and Director of Academic Support. The Sr. Academic Support Coordinator will manage a variety of tasks required to ensure the overall success of the program including semester long projects and day-to-day operations of the program. In this role, the program assistant will work closely with undergraduate students and be a point person for student employment as they oversee the hiring, training, and payroll of 250+ student workers.

Specific Duties & Responsibilities

Program Administration

Payroll processing for 250+ student workers.

Responsible for setting up and monitoring student staff time-entry logs.

Hiring and termination (forms, tracking position #'s, hiring status) in a timely manner. This is a key role of the position and vital to student-employee retention.

Work in SAP and be point person for communication from Student Employment Services.

Assist Director and Assistant Director with logistical aspects of the student interview process (setting up interview schedules, reserving space, candidate follow-up).

Assist Assistant Director with session observations and student evaluations.

Academic Support Session Management

Scheduling for recruitment, class presentations, PILOT Leader meetings, Advisory Board meetings and other events.

Manage Canvas communications and announcements for courses.

Manage weekly problem-set production and dissemination to PILOT Leaders.

Maintain weekly supply inventories of problem-set materials, office and session supplies.

Monitor PILOT session and leader meeting attendance weekly and communicate to students and Assistant Director.

General Academic Support Activities

Assist with training and event logistics (including working directly with vendors, coordinating schedule and room reservations).

Create and disseminate mid and end of semester assessment and satisfaction surveys to student workers and student users.

Development of mid and end of semester reports including a comprehensive attendance report each semester

Manage organization of One Drive folders.

Create and disseminate weekly Academic Support newsletter for student workers.

Maintain Program website.

Manage Pilot Learning Enrollment

Assist AD with development of registration surveys, initial and continued.

Request supported course rosters on a regular basis to manage course enrollment and recruitment.

Create registration links for student sign-up each semester and over the summer.

Manage room requests and assignments for all PILOT sessions, review sessions and events.

Assist with placement schedules, course waitlists and attendance for each session.

Ability to interpret, apply and abide by the Federal Education Rights and Privacy Act (FERPA).

Minimum Qualifications

High School Diploma/GED, with Bachelor's Degree preferred.
Five years progressively responsible administrative/academic experience.
Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.

Preferred Qualifications

Bachelor's Degree preferred.

Starting Salary Range: $20.40 - $28.00/Hr (Commensurate with experience)
