Position Overview

The Special Events Coordinator will support the Operations Manager, in all aspects of meeting and event planning and execution. In addition to supporting projects and tasks for the Operations manager, this person is required to provide on-site/off-site support for meetings, events, and conferences.

The Special Events Coordinator is the first point of contact for executives’ onsite/offsite events and covid protocols. Therefore, the person in this role must display a professional appearance and be able to communicate professionally and clearly while carrying out all functions of the position, including answering telephones or speaking to people who approach. This position is an integral part of the coordination and management of the Event Program. The Special Events Coordinator will be expected to possess a working knowledge of program rules, policies, and procedures, as well as familiarity with Event coordination, covid testing, managing a team, and assisting executives and their guest/attendees.

Essential Duties and Responsibilities

Essential job functions include, but are not limited to:
  • Develop and implement security policies, protocols, and procedures.
  • Work with a cross functional team to ensure a safe return to our physical offices.
  • Coordinate with vendors/contractors providing security integrator support to ensure on-time and high-quality delivery of security systems and maintenance.
  • Maintaining professional composure while dealing with authorities, executives, clients, staff, and the public; occasionally, under conditions of urgency and in high pressure situations.
  • Supervise and direct the workflow of communications requests, and ensuring requests are handled in a timely fashion.
  • Set priorities, plan for the long-term, manage multiple projects simultaneously, and perform in a fast-paced, friendly environment to meet deadlines.
  • Be a team player who can lead and carry out the vision of other leaders, when directed.

Qualifications

  • Have 1+ years' experience in an administrative role in a professional office environment.
  • Previous experience in Event Security Logistics and/or Planning is preferred.
  • Must be comfortable working in a professional, corporate environment.
  • Possess exceptional time management skills and a proven track record of meeting deadlines.
  • Have a high comfort-level with technology and possess the ability to learn and become proficient in new applications.
  • Demonstrate a high level of proficiency with G-Suite and MS Office Suite, especially MS Excel.
  • Must be able to work efficiently and solve problems independently, or with minimal supervision.
  • Must be able to identify critical issues quickly and accurately.
  • Must possess excellent, professional-level communication skills; both oral and written.
  • Must be able to follow instructions and receive constructive feedback, in a professional manner.
  • Possess a desire and willingness for professional development and to grow within the team and the company.
  • Must have flexible availability to work outside usual business hours, including nights, weekends, holidays, and/or overtime; both in the office and off-site, as necessitated by events.
  • Up to 25% Travel Required
