SUMMARY:

The Special Assistant will provide senior-level administrative support to division and team leads. The ideal candidate must have experience working in a fast-paced environment maintain a high level of professionalism, craft timely communications to and from staff, and needs to be able to handle confidential information with tact and discretion. This role will assist the Centers for Disease Control and Prevention (CDC) with massive hiring surges due to reorganizations and transitioning COVID-19 emergency response functions to routine operations.

ESSENTIAL JOB FUNCTIONS:

  • Monitor functional e-mail box(es); screen e-mails for critical messages that require attention from team leadership.
  • Set up and maintain file systems, including share drive and SharePoint systems.
  • Assist leadership with responses to communication inquiries.
  • Arrange meetings and conferences and keep minutes of records and action items; track action items as required.
  • Attend meetings, take notes for leadership, and disseminate notes as directed.
  • Maintain and report on status of documents and action items that require attention and action.
  • Ensure Lead(s) remains current on all inbound and outbound communications regarding response activities.
  • Organize and manage all staffing functions and maintains updated rosters for the Team.
  • Assist Lead(s) with the compiling of documents, information, and resources when required; notify Lead(s) of approaching deadlines for reports and RFIs.
  • Provide general project support services or administrative duties as assigned.

NECESSARY SKILLS & KNOWLEDGE:

  • Must have basic knowledge and understanding of public health and CDC operations.
  • Ability to handle and track multiple concurrent tasks and projects.
  • Great organizational skills and attention to detail with strong project planning and project management skills.
  • Must be motivated with a high degree of flexibility and initiative.
  • Exceptional written and verbal communication skills, as well as exceptional interpersonal skills.
  • Must be professional and polished with a great ability to work independently and as part of a team.
  • Ability to manage relationships professionally with individuals at all levels.

MINIMUM QUALIFICATIONS:

  • Bachelor’s degree in Public Health, Public Administration, Business, or related field.
  • 5+ years of executive-level administrative support with the knowledge, skills, and abilities to successfully perform the duties of the position.
  • Highly proficient in using Microsoft Office Tools (Word, Excel, PowerPoint, Outlook, SharePoint, etc.)
  • Must be authorized to work in the US without the need for employer sponsorship, now or at any time in the future
  • Ability to obtain and maintain CDC Public Trust Clearance.

PREFERRED QUALIFICATIONS:

  • Master’s degree in Public Health, Public Administration, Business, or related field.
  • Individuals with an active CDC badge are highly preferred.

Job Type: Full-time

Pay: $65,000.00 - $85,000.00 per year
