Delivery & Fleet Operations Coordinator

The Delivery & Operations Coordinator’s primary role is to direct/coordinate the deliveries and pick-ups of products and services for the department. This will include the management and traffic control of employees from; Traditional/ Digital Print, Mail and Laundry. This to ensure that deliveries and pick-ups are coordinated for maximum efficiency of the fleet and employees. Communication between the areas and this position is essential for effective routes and schedules. This position will also have oversight of vehicles used for deliveries. This position will also be responsible for the communication tools used to direct drivers.

Essential Functions

  • Delivery Management
    • Manage all of the Deliveries and Pickups for the department. This is for customers on and off campus.
    • Create a driver command and control center for the most efficient process to keep the trucks full
    • Manage the mail and delivery process and employees
    • With the help of IT create and manage a program for scheduling, routes and timing
    • Set schedules with the customers for consistent deliveries and pick up times and stations
    • Schedule, track, and ensure delivery and pick up are efficiently coordinated between customer and department
    • Set up a system for department needs to make sure all deliveries are made on time
    • Ensure exceptional customer service for all customers both internal and external
    • Handle special deliveries/pick-ups for emergency deliveries or non-scheduled events – must be flexible
    • Manage customer complaints and logistical challenges
    • Proactively address potential bottlenecks to process and build a strategy towards efficiency in time and resources
    • Set performance standards for delivery and pick up
    • Track performance for on and off-time deliveries and pick-ups
    • Work with customers to make sure that docks and delivery and pick-up times are available
    • Must be able to multitask and work under semi stressful conditions.
  • Employee Management
    • Hire and maintain teams of drivers and helpers for this program –
    • Utilize mail sorters and other will call or delivery type employees in the department
    • Oversee that the divers receive the training and regulation programs necessary to operate vehicles
    • Train employees with the University regulations for driving and delivering on campus
    • If CDL licenses or other licensing requirements are needed make sure the training is available to the drivers
  • Fleet Operations
    • Oversee fleet of vehicles. Make sure vehicles are clean and presentable –
    • Schedule the use of any delivery vehicles with staff that need to use them for non-delivery needs
    • Schedule regular maintenance as needed and ensure that all vehicles are in working order
    • Partner with Risk Management as needed for safety issues pertaining to vehicle malfunction, accidents, damages, etc.
    • Work with management by recommending repairs and vehicle replacements / purchases
  • Other duties as assigned

Education/Experience

Minimum required:

  • Three (3) years’ experience in working with deliveries, logistics, freight, trucking, or similar areas
  • Demonstrate skills for multitasking and quick decision making
  • Understanding of basic software programs
  • High School diploma or equivalent

Preferred:

  • Five (5) years’ experience in deliveries, logistics, freight, trucking, or similar areas
  • Basic skills in mail distribution

  • Required:
    • Ability to provide exceptional customer service
    • Knowledge of logistics relating to supply chain and freight management
    • Skill in managing a fleet of vehicles
    • Supervisory experience
    • Problem resolution skills
    • Planning and time management skills
    • Organizational skills
    • Must acquire BYU motor vehicle training within 1 month of hire
    • Conflict resolution skills
    • Ability to handle high-stress situations and fast-paced work
    • Computer skills (MS Office, etc.

Employee Class: Staff (Full-Time)
Work Location: Provo Campus
Environment: Periodic exposure to unfavorable conditions. Need to be in variable temperatures or wet environments, etc.

Physical Exam Details: May be required to periodically lift items that are 20-50 lbs. Extensive walking at times; climbing in and out of the truck; loading/unloading items Periodic exposure to weather Hazards related to driving vehicles; operating machinery (not common); and loading/unloading
