Shelter Assistant - Part Time - 3rd Shift, 12 am - 8 am
PROGRAM DESCRIPTION:
The Haven operates two full-time facilities - an 18 bed overnight shelter to temporarily house homeless men and women (Haven Thomas House) - and a family house for families with children (Haven Family House). The two shelters provide respite for those who have suddenly and unexpectedly fallen into homelessness or have been chronically homeless. The Haven is a safe, secure place where they can be helped to get back onto their feet. The Haven Thomas House is an 18 bed open floor plan for single men and women. The Haven Family House operates a four-bedroom house designed to provide a safe, secure environment for families with children. Both shelters have laundry facilities, showers, mail service and telephone messaging services. The open floor plan at The Haven Thomas House makes it possible for staff to monitor activity throughout the early evening and night.
POSITION DESCRIPTION:
The Shelter Assistant is responsible for basic property and guest management at both shelter facilities. This position will ensure the safety of the shelter and its grounds by maintaining the property as well as overseeing guest management in general. The Shelter Assistant will ensure a safe environment and maintain property turn over as guests are housed.
Responsibilities-Basic Description:
- Follow safety and security policies and procedures at all times
- Patrols properties interior ground, parking lots, and shelters
- Ensures all guest room doors are closed and all public access doors locked at 10pm
- Ensures all properties security alarms and camera are on and functional
- Might spend all or part of his shift watching the CCTV monitors for any suspicious activity, and report to the superiors and local authorities in case of any suspicious activity
- Responsible for maintaining clear and concise logs of all nightly occurrences, suspicious activity
- Respond to accidents, contact EMS or administer first aid/CPR as required
- Assist guests/employees during emergency situations
- Notify appropriate individuals in the event of accidents, attacks, or other incidents and make reports
- Conduct daily physical hazard inspections
- Performs all duties in a safe manner and reports all accidents to supervisor immediately
- Maintains safety and security of guests at all times
- Attend phone calls with proper telephone etiquette and standard greetings
- Communicate through email with co-workers and staff
- Provide handover the morning shift supervisor and the night check-list
- Attendants any departmental meetings or training as per the schedule
- Recruit, schedule, and remind volunteers of shifts
- Recruit and schedule weekend food with churches, make reminder calls, send out reminder letters, and acknowledgements
- Assemble sign-out sheets
- Complete chore lists weekly and ensure they are posted
- Any other duties assigned by management
Property Management:
· Inspect beds/rooms for move-in readiness; sanitize and clean to ensure conditions are favorable as guests change
· Understand of federal, state and local fair housing laws and provisions
· Prepare and conduct property inspections at least weekly (bed inspections and room inspections)
· Maintain property appearance and ensure repairs are noted and completed on timely basis
· Weekly inventory of supplies and report shortages to the Director to order
· Maintain volunteer work station: cleaning, stocking, and organization of, ensuring that files are orderly and staff cabinet is locked
· Disseminate and accept donations keeping property presentable to public
· Keep organized the storage spaces (shed, room)
Guest Management:
· Strong adherence to ethical standards and boundaries including, but not limited to, the ability to maintain confidentiality and maintain fiduciary responsibility
· Administer drug/alcohol screenings regularly and as needed to maintain safety
· Collect work schedules and note schedules on sign-out sheets weekly
· Maintain guest relations, ensuring that guests are served well
· Orient new guests with grounds and procedures
· Maintain order within the shelters
· Maintain accurate and organized records
· Ensure guest compliance and consistency with company policies and procedures
· Positive attitude and client service focusing on housing
· Guest communication and conflict management
· Distribute guest medication bags
· Responds to guest requests quickly and courteously as reported by night shift staff
· Case management assistance in coordination with case manager
· Conduct regular house meetings, at minimum of every two weeks, keep record of agenda and attendance of meetings
· In the event of an emergency, conduct emergency strategies as necessary
Qualifications:
- Microsoft Excel & Word and internet knowledge required
- Must have strong communication and people management skills
- Must be available to work nights and weekends
- Must be able to handle difficult situations and assertiveness as necessary
- Ability to multi-task and prioritize
- Bi-Lingual English and Spanish is helpful, but not required
- Self-motivation, responsiveness, and accountability
- Experience in homeless services or lived experience of homelessness a plus
- CPR / First Aid
JOB CONDITIONS:
This position requires the employee to work in an environment where there may be exposure to blood, bodily fluids, and other potentially infectious material. Other exposures could include cleaning supplies, chemicals involved in pest control, paint and other materials used in building maintenance. Working conditions may include interruptions, working alone, and interactions with difficult persons.
