Position Specifics:

Department: Service Location: Hoxie

Reports to: Service Manager Supervises: None

Purpose:

Assist the Service Manager by providing back-up support in his or her absence and maintaining Technician workflow; assist Technicians by ensuring availability of parts and shop supplies; maintain accurate and on-time reports and records relative to the Service Department’s operation within the dealership.

Responsibilities:

Support the Service Manager and service Technicians by:

  • Assuming Service Manager duties when the Service Manager is not available
  • Assisting Service Manager in maintaining a steady workflow to help ensure Technician productivity
  • Assisting Service Manager in monitoring expert alerts received from connected equipment
  • Assisting Service Technicians in obtaining parts if the Parts Department is busy
  • Delivering parts to Field Service Technicians
  • Assisting Technicians in the shop with repairs, as needed
  • Fielding internal and external customer inquiries to the Service Department, obtaining assistance from Technicians in responding to technical questions, if needed
  • Ordering and maintaining inventory of shop supplies and accessories
  • Monitoring WIP and aged work orders in Foresight and ensuring Technicians get them closed
  • Updating technician instruction sheets with key pricing guide, job times, and comments on additional jobs identified by the technicians
  • Transferring all labor charges from daily job timecards to work orders and submitting for payroll
  • Assisting other Hoxie departments, as needed, by delivering small equipment or picking up parts
  • Following all safety rules and regulations in performing work assignments

Maintain accurate and on-time reports and records by:

  • Opening and closing work orders as directed by the Service Manager/Shop Foreman
  • Maintaining control of open work orders until closed and invoiced
  • Updating customer profiles with information from customer work orders
  • Maintaining Service Department filings and records
  • Maintaining accessories and supplies and prepares replacement orders
  • Processing warranty and/or product improvement claims including the computation of charges, submission, and follow-up

Perform related and other duties, as assigned

Experience, Education, Skills, and Knowledge:

  • Basic knowledge of accounting practices
  • Ability to use standard desktop applications such as Microsoft Office and internet functions
  • Experience working cooperatively in a team environment
  • Experience communicating effectively
  • High School Diploma or equivalent experience
