PURPOSE:
To provide support for the Accounting Director and Chief Financial Officer as it relates to the accuracy and timeliness of all daily, weekly & monthly; Financial Reporting requirements; including General Ledger Maintenance; Balance Sheet Account reconciliations; Payroll processing.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
The list of essential duties and responsibilities, as outlined herein, is intended to be representative of the task to be performed. The omission of an essential function does not preclude management from assigning duties not listed herein is such duties are a logical assignment to the position.
1. Responsible for the accuracy and timeliness of the monthly close, ensuring the monthly financial statements are in accordance with generally accepted accounting principles (GAAP).
2. Prepare journal entries for banking activities, insurance, depreciation, accruals, recurring, allocations and other various entries.
3. Responsible for calculating # of Payroll Accrual Days and recording monthly Payroll Accrual Journal Entry
4. Analyze and reconcile LCF balance sheet accounts on a monthly basis excluding Accounts Receivable & Operating Account. Process any corrections that need to be made.
5. Analyze and reconcile LCCD balance sheet accounts on a monthly basis excluding Tenant and HUD Receivable. Process any corrections that need to be made
6. Responsible for maintaining agency Capital asset records; including W-I-P schedules; sales & disposition; depreciation & amortization & reconciliations.
7. Responsible for preparing the Monthly Capital Report which is included in the Financial Reporting Package submitted to Budget & Finance Committee. This is also needed for Banking Debt Service Covenants.
8. Responsible for Managing, issuing and monitoring use of agency credit cards.
9. Responsible for Administering Prepaid Card Program; Issues, Cancel, Replace Cards; Liaison with Bank of America & LCF Programming
10. Reconcile Restricted Revenue & Distribute monthly Report as well as record all restricted funds usage.
11. Responsible for recording and maintaining accuracy of Investment Portfolio Activity for LCF including Board Designated Account and other Investment Portfolios. This includes recording annual Unrealized Loss/Gain on Investments.
12. Responsible for Allocating IDES Unemployment charges and Quarterly adjustments based on Payouts,
13. Assist with the preparation various audit schedules and confirmations for the year-end audit as well as other audits and reviews as necessary. Work with auditors/reviewers as needed.
14. Responsible for ensuring Mutual of America Website accurately captures all 401K, 457B, loan payment payroll deductions; before submitting. Also serves as 401k liaison to Mutual of America.
15. Administer Vertex, the Client Time Management Software which his used for Client Billings and Payroll, as well as support for DHS Audits.
16. Supervising and preparing client payroll files. This includes reviewing data prior to submission, entering adjustments, creating payroll batch files in Vertex and upload file to Paycom
17. Back-up to HUD: includes Annual Rent Adjustment; contract renewals; and all other related items
18. Back-up to ensure all State Registrations are filed in a timely & accurate manner
19. Back-up to GATA, SAM's, IPG annual registrations includes internal Control questionnaire & indirect cost elections
20. Back up for preparing and executing Contract Renewals - DHS & DCFS
21. Back-up for submitting 990s and IL AG 990 for LCF & LCCD
22. Back-up for Year-end financial reporting for DHS, DCFS, GATA
23. Prepare and file sales tax reports and check requests in a timely manner.
24. Responsible for Preparing and distributing 1099's and 1096 Annually
25. Create/Approve Transfer of SS allowance to Global Cash Cards
26. Responsible for LCCD Replacement Reserve requirement bank transfers
27. Responsible for Quarterly reporting for Respite grant
28. Financial Edge Administrator - liaison to Blackbaud for any issues / requests, etc.; administer accounts, depts., project codes, queries and reports
29. Provide backup to all areas of the Accounting Department including but not limited to payroll, accounts receivable, accounts payable.
30. Participate in strategic long-term initiatives as needed and assigned
31. Participate in Board Subcommittees as assigned
32. Any special projects assigned by the Controller and Chief Financial Officer.
33. Maintains annual American Heart Association certification in First Aid and CPR.
34. Successfully completes Little City Foundation required training, re-training, and any additional training as required by Little City Foundation policies and practices, or as assigned by his or her immediate supervisor.
MINIMUM QUALIFICATIONS:
Must have a B.S. Accounting degree and at least 8 years accounting experience in roles with increasing responsibilities. Excellent computer skills required including Excel and Word. Paycom and Financial Edge software experience preferred. Must be very detail oriented, highly organized, and analytical. Must be able to work with minimal supervision.
PHYSICAL REQUIREMENTS & WORK ENVIRONMENT:
While performing the duties of this job, the employee is subject to sitting for prolonged periods; frequently walks, stands, grasps, lifts, holds, or feels objects; occasionally stoops, kneels, crouches, or crawls. Extended use of computer and typing is required. The employee frequently is required to use manual and finger dexterity and eye-hand coordination when working and handling office equipment. The employee is subject to assist and support up to 25 pounds with varying amounts of assistance on a reoccurring basis. The employee is required to have corrected vision and hearing within normal range and the ability to operate office equipment. No occupational exposure to blood, body fluids, communicable diseases or other potentially infectious substances (Category I). Typical office environment.
