Join SAIC’s OneSETA Team to provide our government customer with Systems Engineering & Technical Assistance (SETA) support. SETA services range from providing administrative assistance to providing expert technical assistance on national efforts that will contribute to maintaining and expanding the capabilities of homeland security.

The Office of Innovation and Collaboration (OIC), located within the Department of Homeland Security’s (DHS) Science and Technology Directorate (S&T), is comprised of approximately 800 Federal and contractor employees that make up a robust, highly technical staff. SETA support services for the OIC Front Office (FO) federal staff, which includes the Executive Director, Principal Director, Staff Director, Business and Finance Manager, and Senior Advisor. SETA support services would provide coordinated and collaborative support in the following functional areas: executive support, general administrative management, business and financial management, and strategic communications support.

OIC Front Office requires SETA staff to support overall S&T operations and execution. SETA is required to possess sufficient technical knowledge to successfully assist OIC Front Office Executive Director and Front Office Support. Perform administrative duties as required such as writing memos, filing, typing, and copying documents. Develops spreadsheets, maintains program, project, and task files, technical support information for program, project managers. Organizes and maintains calendars for one or more managers, schedules meetings, takes meeting notes and distributes to attendees. Prepares correspondence, briefs, and reports and assists with planning, initiation, and tracking of task assignments and associated data. Assists with preparing and processing travel and maintaining travel requests and records. Distributes and monitor taskings, data calls and coordinating troubleshoot requests.

For this position at DHS OIC Front Office (FO), the Senior Administrative Specialist will:

  • Serve as Executive Assistant to the OIC FO Executive Director.
  • Perform routine executive-level tasks for the OIC Executive Director to include but not limited to scheduling, drafting internal memos, creating briefing materials, coordinating OIC Front Office daily operations.
  • Manage, maintain and deconflict OIC Executive Director calendar and phone.
  • Arrange meetings and conference calls to include scheduling with other attendees, scheduling conference rooms, and off-site meetings.
  • Coordinate OIC Leadership meetings, agenda, and follow up actions.
  • Arrange travel for OIC Executive Director and other Front Office staff as assigned to include local, domestic, international, and invitational travel.
  • Ensure appropriate routing, review, signature, clearance and submission of all high-level documents for Executive Director and Principal Director signature.
  • Maintain DHS records (hardcopy and electronic) in accordance with Applicable DHS Management Directives.
  • Perform ad-hoc administrative duties as requested by OIC Front Office federal staff.

This hybrid position will require 1-2 days a week in office in Washington D.C.

Qualifications

Required Qualifications:

  • BA/BS + 7 years of relevant experience or Masters + 5 years of relevant experience.
  • Must have an active US Secret clearance.
  • Must be a US Citizen.

Desired Qualifications:

  • Experience in a Systems Engineering Technical Assistance (SETA) environment.
  • Travel may be required.
  • Prior DHS contractor fitness (suitability) authorization determination.
  • Prior DHS experience including any DHS components or HQ Directorates, especially DHS S&T.
