Position Purpose:
The School Secretary/Receptionist is the gatekeeper of the main school office, providing a warm, welcoming, and inviting atmosphere for students, staff, parents, and visitors. The School Secretary/Receptionist also provides secretarial and administrative support to the Administration and the front office staff; communicating information to students, parents, staff, and/or other districts; ensuring compliance with school protocol and policies, and administrative requirements; and supporting the broad array of services provided to students, parents, instructional and support employees.
Qualifications REQUIRED:
- Education/Certification/Experience:
- High School Diploma or Bachelor’s Degree
- Training/experience that is considered relevant
- One year of similar experience, preferably with experience in an academic environment
- Must have a valid state driver’s license
- Knowledge:
- Perform basic mathematical calculations
- Read the technical information, compose a variety of documents
- Facilitate group discussions, and analyze situations to define issues and draw conclusions.
- Knowledge of good telephone etiquette with the ability to deal tactfully and confidently with callers and visitors
- Demonstrated writing and oral communication skills: concepts of grammar and punctuation.
- Skills:
- Bilingual (Fluent in English and Spanish): Communication and writing skills.
- A courteous and pleasing personality
- Must be able to work intuitively and independently
- Strong organizational skills for multitasking and prioritizing responsibilities
- Solid working knowledge of Microsoft Office Suite, (Word, Excel, OneNote, PowerPoint), Google (Docs, Sheets, Calendar, Presentation), and the Internet.
- Positive appearance, attitude, and presentation with a strict sense of confidentiality
- Regular and consistent attendance and punctuality are required
- Develop a positive, welcoming, and caring climate in the front office
- Answer incoming phone calls in a pleasant, informed manner for the purpose of providing and creating a good image and first impression of the School
- Greet all incoming students, families, and guests respectfully and professionally, determining their needs, checking scheduled appointments, and directing them to the proper person, Ensure that guests sign-in/out as required
- Require all visitors to sign in and identify themselves; provide appropriate passes and badges following policy and protocol
- Check students in and out issue passes and monitor requests for early dismissals
- Check voice mail messages left in the school’s general mailbox on a routine basis and distribute accordingly those messages needing immediate attention
- Receive and distribute miscellaneous materials such as school supplies, student lunches, forms, homework assignments, athletic equipment, etc. left with the front office for students by their parents, and/or others.
- Be knowledgeable and current on school activities, programs, and events related to the school calendar
- Select appropriate channels for resolving concerns or problems as situations present themselves

- Maintaining a positive school image at all times.
- Work with courtesy, tact, and diplomacy in dealing with others, and the ability to work as part of a team
- Work effectively with colleagues, faculty, and students by practicing respect for deadlines, collaborative problem solving, and honest communication
- Possess sensitivity to confidential information and hold a high standard of integrity
- Maintains office equipment, tools, and work areas (e.g. cleaning, load supplies, clear paper jams, etc.) for the purpose of ensuring a safe working environment and the availability of items within a specific time frame.
- Wear proper attire, consistent with the school’s dress code at all times and maintain positive attitude and appearance in accordance with school standards
- Maintain a high level of personal hygiene and cleanliness at all times
- Report inappropriate behavior to School Administration in order to maintain a safe learning environment
- Make a constructive effort to protect all students from conduct detriment to learning, health, or safety
- Abide by and comply with all school policies and regulations
- Other duties as requested or assigned
