Position Overview
The Resource Development Assistant is responsible for data entry, tracking and analysis, gift processing, reporting, donor acknowledgment, and special event assistance. The incumbent works under the supervision of the Chief Development Officer or their designee and is required to perform a full range of administrative, special event and other duties as assigned.
Essential Functions
  • Maintain overall integrity and quality of the donor database to assist with accurate statistical, analytical, and financial reporting.
  • Perform accurate data entry for all donor gift records
  • Maintain data entry policies and procedures, updating as needed.
  • Process, record, and reconcile with the Finance Department all gift pledges and pledge payments.
  • Perform monthly audits and updates to the database to confirm accuracy.
  • Prepare accurate donor reports, queries, data exports, and mailing lists as requested.
  • Troubleshoot problems, improve overall processes, and ensure deadlines are met even during periods of heavy gift volume.
  • Provide acknowledgement letters, receipts, and invoices to donors within five business days of receipt of each gift.
  • Assist with drafting donor letters, correspondence, general information, proposals, and reports as directed.
  • Assist in supporting special event and donor appreciation preparation and planning, to include silent auction needs.
  • Provide administrative support, including meeting minutes, filing, faxing/scanning, and ordering department supplies, etc.
Qualifications
The Resource Development Assistant position requires a majority combination of the following:
Education and Experience:
  • An Associate’s degree, or equivalent, from an accredited college or university.
  • At least two years of database management experience with demonstrated knowledge of sound donor database practice and data entry accuracy.
  • Attention to detail, with ability to spot numerical errors.
  • Aptitude with filing skills, gift processing and ability to use basic office equipment.
  • Effective verbal and written communication skills. Should be able to adapt communication style to suit different audiences.
  • Knowledge of non-profit resource development practices and procedures.
  • Software proficiency: Microsoft Office (Outlook, Word, Excel, PowerPoint, etc.), SharePoint, and donor software systems (Donor Perfect, Salesforce, Raiser’s Edge, etc.)

  • Highly organized self-starter with the ability to produce high-volume, high quality data.
  • Strong organizational and analytical skills, with attention to detail.
