Job description
The Rental and Events Assistant will assist in the promotion and facilitation of the rental use of The Salvation Army Ray and Joan Kroc Corps Community Center (Kroc Center). This position will facilitate and support rental uses of the Kroc Center by members, guests, and The Salvation Army Officers and staff. Under the supervision of the Rentals and Events Supervisor, support activities will involve membership special events, birthday parties coordination, and event rental logistics. The Rental and Events Assistant will support corporate and non-profit rentals/events, birthday parties, group sales/field trips, and facility rentals as specified in the rental agreements at the Kroc Center.
QUALIFICATIONS:
- Minimum of a High School Diploma, Certification or degree in Marketing, Communications, Public Relations, Hospitality, or related field preferred.
- At least one year of progressively responsible experience in customer service, event support, sales, and/or marketing.
- Must be a person of high integrity and willing to support and promote the mission of the Salvation Army.
- Certification by and participation in The Salvation Army’s Fleet Safety Program on an annual basis.
- Current First Aid, CPR, and AED required. If not current, then certification must be obtained within two months of hire. Instructor certification preferred.
- Must comply with “Protecting the Mission” requirements. Required to pass a background check.
- Ability to interface with staff, customers, and participants of varying educational and cultural backgrounds.
- Customer service skills, problem solving capabilities, and the ability to maintain a positive attitude at all times while interacting with Kroc employees, guests, and the public.
- Ability to work in a fast-paced team environment; be a self-starter. Demonstrate a commitment and flexibility at all times in order to ensure high quality service.
- Must have strong communication skills in both written and verbal expression. Strong proofreading skills with attention to detail and ability to prepare contracts for clients. Professional phone manner is essential.
- Must have computer skills familiar with Word, Excel, and/or appropriate desktop applications. Ability to become proficient with the Kroc Center scheduling software.
- Must be highly organized and detail oriented, consistent, reliable, excellent follow through and able to maintain schedule, prioritize and manage multiple events.
- Ability to adjusted and provide appropriate action when unanticipated need arises.
RESPONSIBILITIES:
- Under the direction of the Rentals and Events Lead, provide rental and event support:
o Receive inquiries from potential external clients (phone, email, and walk-ins), answers basic questions, provide rental information packets and lead potential clients on walk-throughs of the facility as needed.
o Plan and implement Kroc Center events for clients, updating the Lead or Manager as needed and follows up as necessary to ensure successful event.
o Maintains the internal room reservation calendar and responds to internal requests for room reservations.
o Prepares billing invoices for facility rentals and tracks invoices and accounts receivable.
o Facilitate facility rentals including client relations, room design/setup, and event schedule.
o Assist with setup and takedown of equipment necessary for events, including tracking of Kroc Center equipment and its condition.
o Perform necessary follow-up and reporting.
- Maintain a professional attitude and approach to problem solving and the ability to provide conflict resolution with event participants in a positive manner.
- Coordinate party signage and communicate with the Welcome Desk staff on event specifications.
- Order supplies needed for event operations.
- Will be required to work flexible schedule including weekends and evenings.
- Follow and ensure adherence to The Salvation Army policies and procedures.
- Perform other duties as assigned

While performing the duties of this job, the employee is regularly required to walk, stand, climb or balance, stoop, kneel, crouch, crawl and reach with hands and arms on a continuous basis. The employee must regularly lift and/or move up to 20 pounds, frequently lift and/or move up to 50 pounds, and occasionally lift and/or move up to 75 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, depth perception and ability to adjust focus. Must have the ability to operate telephone, a desktop or laptop computer, as well as the ability to access and produce information from a computer, and to understand written information.
