Job Summary
The Registration Specialist is responsible for promptly and graciously greeting patients as they arrive and providing patient-centered care by providing excellent customer service. The Registration Specialist will be held accountable for ensuring patients are accurately registered upon arrival for their appointment as well as various other administrative duties to ensure patients are provided with quality and compassionate customer service from the point in time they arrive for their appointment through the billing and payment process.
Duties and Responsibilities
- Responds to patient inquiries and requests and completes timely and accurate patient intake while ensuring the patient’s comfort, dignity, safety, and confidentiality always.
- Ensures accurate patient demographic and billing information is correctly entered to the Districts software system(s).
- Ensures that each patient’s insurance has been verified and that pre-authorization, if necessary, has been obtained and documented in the appropriate systems prior to the patient being discharged.
- Performs daily collection of co-payments and generates patient receipts. Maintains the accuracy of the petty cash box; prepares and submits payment collections and related documentation.
- Resolves claims that are unable to be billed; develops internal processes improvements to ensure timely claim submissions of future claims.
- Maintains a clean, organized, and professional work environment.
- Accurately processes incoming, outgoing, and inter-office mail.
- Researches and analyzes alternatives for improving workflows. Develops “best practice” recommendations by partnering with other team members in examining data and identifying trends.
- Performs all functions according to established policies, procedures, regulatory and accreditation requirements, as well as applicable professional standards. Consistently demonstrates SPMC values and provides all patients/customers with an excellent service experience.

Required Education and Experience
- High school diploma or GED.
- Associates and/or bachelor’s degree are preferred.
- Knowledge of medical terminology is preferred.
Required Licenses, Certifications and/or Registrations
- Basic Life Support (BLS) certification encouraged.
Required Knowledge, Skills, Abilities
- Ability to thrive in a fast-paced setting while providing timely and exceptional customer service, demonstrating a consistently positive and professional demeanor, and maintaining accurate records.
- Ability to develop and maintain proficiency with insurance verification processes via multiple online and telephone insurance registry systems.
- Strong computer and technology skills. Proficient in the use of current technology, including Microsoft Office products, computers, email, copiers, scanners, multi-line telephones, credit card machines and faxes.
- Strong problem-solving and organization skills; ability to effectively prioritize work.
- Ability to remain calm, professional, and on-task during emergencies, high-volume or stressful times.
- Ability to be flexible and adapt to changing workloads, locations, and/or task assignments.
- Professional and effective written and verbal communication skills. Ability to identify and employ communication strategies appropriate to the audience and demonstrate sensitivity to others emotional, social and mental health needs.
- Basic mathematics skills and knowledge of payment processing functions.
- Ability to work in a team environment and to engage with others in a collaborative and constructive manner.
This is a union position with a pay range of $18.38 - $25.65 per hour depending on experience.
