POSITION SUMMARY
This position provides front office support to our patients by greeting and registering patients, providing financial information and support and verifying both financial and demographic information upon check- in. This position also provides comprehensive discharge services to the patients to ensure that the care plan and physician orders are scheduled and carried out.
REGISTRAR ESSENTIAL FUNCTIONS:
- 1. Verifies and updates all demographic and insurance information on patients in Practice Management (PM).
- 2. Scans all insurance cards, pharmacy cards and drivers’ licenses into the appropriate accounts in Practice Management (PM).
- 3. Ensures Privacy Notices and yearly updates are completed and signed on every patient.
- 4. Explains TCC’s financial policy and Forms Fees to patients. Ensures that patient signs the financial policy and completion of Forms paperwork. Discusses the patient’s financial responsibility, including co-pays, coinsurance, deductibles, Forms Fees and payment needed at time of visit.
- 5. Must attempt to collect co-pays, coinsurance, deductibles, deposits, and/or past due balances.
- 6. Reconciles cash bag and prepare and reconciles the daily deposit.
- 7. Processes self check-in appointments.
DISCHARGE ESSENTIAL FUNCTIONS:
- 1. Schedules patient appointments for testing both internally and externally per physician’s orders.
- 2. Schedules follow up appointments or referrals to other specialists per physicians order.
- 3. Completes lab and radiology requisitions/orders and tasks for authorization appropriately.
- 4. Creates new patient charts and scheduling for walk in New Patients
- 5. Prints patient appointment reminders, clinical summaries, and reviews all TCC scheduling, policies, cancellation notices and testing instructions.
- 6. Verify appropriate diagnosis for Testing from the chart.
- 7. Enrolls patients in the Patient Portal if not already registered.
- 8. Works various task buckets for scheduling and completes scheduling tasks Note: The essential functions outlined in this job description are intended to describe the general content and requirements of the position. SCOPE AND COMPLEXITY
Incumbents in this position are required to be knowledgeable in all areas of the organization and have a basic understanding of medical terminology and cardiac procedures. This position interacts with patients, physicians, management, and employees in both written and verbal form. Incumbents must be knowledgeable with all tasks related to discharge and scheduling.

- Typical office environment:
- Able to stand or sit for prolonged periods of time.
- Able to walk, bend, squat, reach and stretch frequently.
- Needs adequate hearing acuity.
- Needs visual acuity, including adequate close, distance, and color vision, peripheral and depth perception.
- Requires fine motor skills, adequate eye-hand coordination, and ability to grasp and handle objects.
- May be required to lift up to 25 pounds.
- Needs to be able to communicate effectively with patients, physicians, management and employees through reading, writing, and speaking in person or on the telephone.
- Requires use of computer.
- Requires use of fax, telephone, printer, copier, scanner, calculator and other job related equipment.
- MINIMUM QUALIFICATIONS Education/Experience/Licenses/Certifications
- High school diploma or GED.
Skills/Knowledge/Ability
- 40 wpm typing
- Knowledge of basic computer and math skills.
- Demonstrated critical thinking ability in order to resolve problems and carry out instructions.
- Ability to multi task.
- Excellent verbal and written communication skills presented in an effective, clear, calm, friendly and professional manner.
- Ability to effectively communicate to all internal and external customers. Manages tasks in a timely fashion.
- Ability to read and interpret documents.
