General Duties
Responsibilities
- Oversees daily medical office operations.
- Provides coverage to the front office;
- Assist patients in their visits and possible return appointment with the Physician;
- Maintains and updates patient charts and records; These records must be treated with utmost confidentiality;
- Participates in professional development efforts to ensure current medical practices and trends.
- Assume various duties as directed by the Physician in the area of office operations and clerical/administrative works;
- Assist in the medical billing works be able to explain to the patients and other benefits;
- Assist in the Physician in preparing the patients in doing basic stuffs and other lab works;
- Act as the Medical office primary point of contact, answering inquiries of general nature from patients, visitors, family members, and professional staff, assisting them in a friendly and cooperative manner.
- Assist the Physician in maintaining medical office supplies and cleaning medical instruments/equipment as directed;
- Assume various duties as directed by the Medical Physician.
Job Conditions
- It is mainly a desk job which essentially involves sitting for extended periods of time, as well as an excessive amount of telephone communication.
- Travel is required in case there is a need to complete errands.
- It requires minimal lifting of office records and printouts.
- Work requires hand dexterity for office machine operation
- Must be able to hear adequately on the telephone with no more than an amplifier and be able to communicate English in both verbally and in writing.
Qualifications
- Equivalent experience in a medical office (Gynecologist) environment;
- Experience as a receptionist or office manager, in the medical field preferably.
- Should be a skilled organizer able to manage office files, logbooks and schedules.
- Must possess the light secretarial skill and have a polite telephone demeanour.
- Must have a criminal background check.
Experience
Minimum of 2 years of medical office management, including billing and collections experience.
Knowledge
- Knowledge of clinic policies and procedures.
- Knowledge of medical terminology and insurance practices.
- Knowledge of computer programs and applications.
- Knowledge of grammar, spelling, and punctuation to communicate in written format.
- Knowledge of managed care, Medicare, and Medicaid guidelines.
Skills
- Demonstrates organizational, written/composition skills, and verbal skills.
- Digital Proficiency is a must
- Demonstrates typing skills, filing skills, and word processing skills (Microsoft Office Suite including Microsoft Word, Outlook, Excel, etc.)
- Skill in effective interpersonal skills including phone etiquette
- Preferably skills in medical billing process

- Ability to work effectively as a team member with physicians and other staff.
- Ability to flexibly respond to changing demands.
- Ability to plan, organize, prioritize and direct the work of others.
- Ability to identify claims problems and recommend solutions.
- Ability to sort and file materials correctly by alphabetic or numeric systems.
- Ability to interpret and understand insurance benefits and reimbursement.
- Ability to communicate clearly and concisely.
