QUALIFICATIONS:

  • Experience with computer systems, including spreadsheets and other software.
  • Experience navigating and managing cloud-based software systems for tracking and managing agency processes.
  • Strong interpersonal, communication and organizational skills. Exceptional administrative and follow up skills.
  • Ability to handle multiple priorities and maintain a high level of confidentiality.
  • Ability to work in a fast-paced environment with demonstrated ability to manage multiple competing tasks and demands.
  • Ability to lift up to 25 pounds from floor to chest height and transporting for short distances of under 50 feet.
  • Ability to safely secure packages on and use a handcart across level surfaces. Professional communication and interpersonal skills. Good grammar, voice and diction.
  • Ability to interface well with all Agency employees, and individuals served.
  • Ability to represent the Agency in a highly professional manner.

ESSENTIAL RESPONSIBILITIES:

  • Open, sort and deliver Agency mail.
  • Filing, typing and copying for the Finance and Maintenance Departments.
  • Maintain adequate stock of office supplies for the Finance and Maintenance Departments.
  • Answering facility telephones and direct messages to the appropriate agency personnel.
  • Maintain the purchasing systems for Wraparound Services of the Hudson Valley and all related entities, including the processing of all purchase requisitions, pick-up items and accept delivery accordingly. Ensure accurate distribution of inventory to the ordering departments.
  • Maintaining the Maintenance Department computer software system to improve efficiency of maintenance work orders, projects and asset management.
  • Maintain the maintenance systems and logs for Wraparound Services of the Hudson Valley and all related entities.
  • Assist in the preparation of reports, schedules and analysis for both departments as required.
  • Maintain accurate records, complete back-up and organization, planning and scheduling of all facility operations systems as directed.
  • Provide clerical assistance to all aspects of business operations including the Maintenance and Finance Departments.
  • Prepare purchase requisitions for the Maintenance Department.
  • Occasional department related travel as required.
  • Maintain confidentiality of all financial information and related items.
  • Adhere to all Agency and Corporate Compliance and Human Resource policies.
  • Perform any other related duties as directed by the Chief Financial Officer, Chief Operating Officer and Facility Director or designee.

Job Types: Full-time, Part-time

Pay: From $17.00 per hour
