Job Description:
The Purchasing Coordinator performs all duties related to purchase order entry and post- entry supply chain tracking. This role is an integral member of the Purchasing team handling many of the day-to-day purchase orders within the department.
- The Purchasing Coordinator interacts with suppliers, both foreign and domestic, to maintain pricing and delivery scheduling.
- Interacts with internal personnel as a liaison between supply orders and demand orders.
- Responsible for the accurate entry, proofing, maintenance and submission of purchase orders based on customer demand, stock replenishment, and management direction.
- Responsible for the accurate entry, proofing and maintenance of supplier container shipments.
- Maintains superior level of accuracy while creating and verifying purchase order information including proper product costing, shipping instructions, etc.
- Coordinates order status report submissions from suppliers.
- Works on pickups, deliveries and transfers.
- Resolves changes and discrepancies, and updates purchase order information accordingly.
- Reviews routine purchase orders and expedites orders accordingly.
- Directly communicates professionally and courteously with suppliers in relation to order processing as required to resolve issues and receive order acknowledgements.
- Reviews and resolves supplier invoice discrepancies.
- Electronically files all order documents and attaches to appropriate system locations per document management system.
- Updates and maintains files, including supplier price lists.
- Maintains stock levels of supplies and makes Maintenance, Repair and Operating purchases.
- Supports Buyers with various issues and special projects.
Knowledge, Skills & Abilities:
- Prior experience in purchasing, buying and/or procurement, preferably in the food and beverage industry
- Basic knowledge and understanding of operating regulations/requirements in purchasing field
- Must be able to multi-task in fast-paced sometimes pressured situations
- Able to set and meet multiple and simultaneous deadlines
- Strong organizational skills with the ability to prioritize
- Strong interpersonal skills and able to be an effective team player
- Attention to detail; passion for accuracy and granular details
