Overview:
This position is open to candidates located near San Rafael, CA. Hybrid work options available. Local employees are currently expected to be physically in the San Rafael office on Monday and Wednesday each week unless otherwise instructed and permitted to work remotely on other days.
The pay range for this position in California is $28.85- $36.06 per hour. Base pay offered may be higher or lower depending on job-related knowledge, skills, experience, and location of the candidate. Restricted stock units may be provided as part of the compensation package, in addition to a full range of medical, financial, and/or other benefits, dependent on the position offered. Our Marketing and Business Development group is growing, and we are in search of a Proposal/Marketing Coordinator with experience managing proposal responses, marketing, and office administration. The successful candidate will manage proposals, RFP responses, marketing collateral, and the day-to-day office needs within the 598 business unit/Clean Energy group and collaborate with other NV5 business verticals.

Responsibilities:

- Track and maintain sales pipeline.
- Oversee and create marketing materials and collateral including project sheets, resumes, and SOQs.
- Act as liaison between Clean Energy group, the Buildings & Owner Representative vertical’s marketing, and NV5 corporate marketing to ensure information on company website stays current.
- Manage opportunities in Deltek CRM including reviewing lists, running weekly marketing report, monitoring entries, updating contact information, cleaning up outstanding opportunities and analyzing ways to use it more effectively.
- Develop and prepare proposal submissions, qualifications packages, and presentation materials for project interviews.
- Analyze RFP requirements and identify and coordinate all internal and external resources required for proposal completion. Write, design, and integrate materials into persuasive proposals that reflect our distinctive capabilities to meet clients’ needs.
- Assist with a wide variety of marketing activities, including writing and dissemination of press releases and articles; promotional activities such as development of direct mailers, advertisements, promotional items, client events and seminars, holiday cards.
- Manage office supplies, food orders, water delivery, and employee equipment needs.
- Maintain office services by organizing office operations and procedures, improving electronic filing systems, and other related tasks.
- Improve office efficiency by establishing standards and procedures and making necessary adjustments.
- Direct main office phone calls and general inbox emails.
- Manage office mail, corporate credit card purchases and receipts. Interface with office property managers and landlords as needed.
- Plan and manage team meetings, events, and holiday parties.
- Maintain and update various company databases tracking projects, software, equipment, trade organizations, and passwords.
- May perform other duties to meet the operational needs of the firm.
- Excellent writing, communication, and organization skills
- Ability to interface well with internal and external team members and clients at all levels.
- Ability to multi-task and work in a deadline-driven environment
- Proficiency in Adobe Creative Suite Programs, MS Office Suite
- Proficiency in Deltek/Vision CRM or similar software a plus
- Bachelor’s degree in business, marketing, communications, history, English, or engineering
- Zero to three years of related marketing experience. AEC industry experience preferred.
- Experience and interest with clean energy, clean transportation is a plus.
