AlphaGraphics in the Cultural District is looking for a full-time Proposal Manager to work exclusively with our client at UPMC.
The Proposal Manager is responsible for overseeing activities related to RFP/RFI development for a specified line of business, as assigned. They will utilize existing content and templates to craft high-quality standard proposals that showcase the firm’s products, services, and value propositions. The Proposal Manager will report to the manager of Proposal Development and will be responsible for developing strategic proposals utilizing prospect/market intelligence, subject matter experts (SMEs), positioning, messaging, brand management, differentiation and our content library. Responsibilities include managing the overall RFP process flow, developing proposal schedules and timelines, coordinating with key personnel, maintaining draft version control, reporting upon proposal status, ensuring compliance with RFP requirements, and managing the proposal through to completion. The Proposal Manager will conduct self-reviews and peer reviews of proposals to ensure quality, accuracy, formatting, consistency, and adherence to firm’s compliance, style, branding, processes, and quality/performance standards. The ability to work well under pressure, simultaneously manage multiple project timelines, work efficiently, and move fluidly between responsibilities is critical to performing successfully in this role. The Proposal Manager must develop and foster effective partnerships throughout the organization and work well in a team-oriented environment.
Core Responsibilities
- Manages both strategic and standard proposals for specified line of business within best practices guidelines and framework
- Supports the proposal manager team lead on RFIs/RFPs and other departmental ad hoc projects, as needed
- Serves as a back-up to the senior proposal manager in their absence
- Serves as a mentor to the associate proposal manager for RFIs/RFPs, as needed
- Participates in the quality assurance process through self-reviews and peer-reviews of proposals
- Participates in project status and reporting metrics functions related to Proposal Development process
- Participates in professional development training
- Completes other reasonable and normal duties as directed by Proposal Development management team
Qualifications
- Bachelor’s degree in business management, marketing, communications, professional writing, or related field.
- The Proposal Manager should have a minimum of five years of experience within the proposal development arena, preferably in health insurance or other professional services, including, but not limited to: analysis of RFPs/RFIs, developing proposal timelines, schedules, and compliance matrixes, maintaining draft version control, reporting upon proposal status, and coordinating with subject matter experts (SMEs).
- The Proposal Manager should have experience supporting the development of responses to scopes of work, bid requirements, questionnaires, cover letters, executive summaries, and additional responses as they relate to RFPs/RFIs.
- Proficiency in Microsoft Office applications
- Proficiency in Qvidian, SmartDocs, or other RFP repository – required
- Health and wellness management – preferred
- Employee assistance (EAP) services experience – preferred
- Background in health insurance – preferred
- Absence management services – a plus
- Technical skills: strong creative and writing organizational skills, able to handle quick turnarounds and tight timelines and produce a quality product, ability to work well in a team-oriented environment, ability to simultaneously coordinate and manage multiple project timelines
