We have an immediate opening for a Proposal Coordinator at our office located in Phoenix, AZ. This position will provide a single point of contact for our land development and utility customers to coordinate new projects. This position will be responsible for providing customers with excellent service and facilitating their gas and electric needs for all projects from start to finish.
Job Summary: The Proposal Coordinator supports the daily proposal development operations by assisting with a broad range of duties and responsibilities. This role will shadow and participate in estimating reviews and meetings assigned to the Estimating team. The Estimating Coordinator may also be assigned individual tasks by an Estimator to support in the estimated development. This position must have the ability to work independently and as a team, and accept guidance when needed to improve their capabilities.
General Proposal Duties
  • Analyzes requests for proposals and qualifications.
  • Prepare technical responses to customer RFPs, RFQs and RFIs
  • Have technical writing skills to create, review and edit documents in a professional manner
  • Compile and organize electronic RFP information for hard copy or electronic submittal of a proposal
  • Develops presentations
  • Work with Procurement and Subcontract to submit RFQs to Suppliers
  • Gather information from Engineering, Procurement and Construction
  • Ensure proposals are completed on time and issued to the customer
  • Manages all parts of the proposal
Detailed Proposal Duties
  • Receive proposals and enter them into the proposal log
  • Ensure all documents, correspondence and/or data received and or communicated with respect to any qualification, the proposal of bid is stored electronically on the server in the proposal folders
  • Analyzes requests for proposals and qualification with management for bid/no-bid decisions.
  • Develop and produce responses to qualifications, proposals and presentations utilizing local staff.
  • Manage all parts of the proposal effort to ensure timely receipt of required inputs (cost, bonds, subcontractors, vendor cost and data, qualifications, etc.) for proper review and approval.
  • Ensure any and all bonds, letters of credit or similar security requests are identified early, and the necessary approval forms completed and approvals obtained.
  • Ensure quality and completeness of proposal response.
  • Conduct timely proposal reviews with key stakeholders of the company per the proposal approval matrix.
  • Ensure all proposals including financial reviews are approved and those approvals are documented and stored electronically on the server in the appropriate folders.
  • Manage and update the estimating management system. Coordinate with Estimators to ensure the most current information is presented in the proposal summary report. Submit proposal summary report to key leadership positions.
  • Support Estimator and Estimating Director in the generation, compilation, and submission of bids/proposals to clients.
  • Works with Estimating Director and key leadership roles to generate and submit corporate risk reviews and bid reviews.
  • Assembles and compiles various cost reports for distribution to key stakeholders.
  • Supports team with document control responsibilities and updates template documents upon request.
  • Take meeting minutes for the department and project-specific meetings.
  • Ability to travel to project sites to understand construction sequence, means and methods, site conditions and perform time studies.
  • Consult with clients, vendors, and personnel in other departments to discuss and formulate estimates and resolve issues.
  • Prepares special reports by collecting, analyzing, and summarizing information and trends.
  • Prepare and coordinate RFQ’s for subcontractors and vendors.
EDUCATION & EXPERIENCE REQUIREMENTS:
  • Bachelor’s degree in marketing, journalism, public relations, communications, business or other relevant disciplines
  • Previous experience in prepositioning and proposal development for projects
  • At least 1-3 years of experience preparing clear and concise content and/or proposal submissions to meet marketing objectives.
REQUIRED SKILLS/ABILITIES:
  • Excellent written and oral communication skills and writing experience for marketing publications; able to craft high-impact narratives.
  • Understanding of graphic design and has an eye for communicating content visually
  • Ability to work in a fast-paced, team-oriented environment
  • Advanced MS Office capabilities (including Word, Excel, PowerPoint and Visio)
  • Proficiency in Adobe Creative Suite, including InDesign, Illustrator, Photoshop
  • Demonstrated capability to learn complex technical services and translate the information into easily understood written content
  • Self-starter able to collaborate with project management, business development, technical marketing, clients and administrative staff
Compensation: $70k - $85k (pay is decided based on experience)
