Proposal coordinators work collectively with proposal managers to support the process of creating cohesive proposals. The proposal coordinator is responsible for supporting the proposal process to include the creation, organization, development, and production of proposals and other formally requested customer and/or market-initiated information to professionally position Woolpert. They will not only support but be included in the effective and efficient development of corporate proposals.
This position will work with multiple Woolpert Sectors to support proposal development.
Qualifications:
- Bachelor’s degree in Communication, English, Marketing, or a related field required
- Three (3) to Five (5) years of related experience in the A/E/C industry
- Strong technical proficiency in Microsoft Office 365, including SharePoint and Teams, as well as Adobe InDesign required
- Experience in a role requiring the ability to develop and produce proposal materials
- Demonstrated ability to organize and manage multiple priorities
- Ability to write and edit using established style guides, including AP style
- Excellent verbal and written communication skills
- Strong organizational, time management, attention to detail, and analytical skills
- Ability to work independently as well as in a team environment
- Willingness to undergo pre-employment background, verification, and drug screening
Responsibilities:
- Working with the proposal team and internal and external clients on proposals, statements of qualifications, letters of interest, and other documents to favorably position Woolpert.
- Providing support to the proposal managers throughout the proposal development cycle and supporting with research, writing, editing, formatting, and quality check of graphics and text for Woolpert across multiple divisions.
- Performing data collection and administrative tasks for proposal teams, including contacting partners, outlining requirements, and organizing and distributing information.
- Writing and maintaining new toolkit proposal documents (resumes, project descriptions, boilerplate text, etc.) that meet company defined standards. This includes coordination and placement of appropriate graphics.
- Reviewing current toolkit proposal documents (resumes, project descriptions, boilerplate text, etc.), firmwide documents, and technical documents and revising to meet company defined standards. This includes editing for grammar and punctuation as well as appropriate graphic selection and placement.
- Assisting with the archiving of proposal content and uploading to appropriate internal databases or servers as part of proposal closeout procedures in a timely and quality manner and according to division standards.
- Following established proposal development and quality assurance/control processes.
- Assisting with special writing projects for various Woolpert groups as needed. LI-Remote
