Position Overview
The responsibility of the Project Coordinator is to support the construction manager and the project manager with daily activities. Duties include but are not limited to, assisting in planning certain aspects of the project, monitoring its progress, coordinating with teams, and communicating with subcontractors on an as-needed basis. The Project Coordinator will assist with the management of materials and logistics. The successful candidate will maintain accurate and complete records of inventory by identifying, labeling, and placing materials in stock. This position reports directly to the Project Manager.
Duties & Responsibilities
- Coordinates subcontractor relationships and billing under the direction of the Project Manager and Corporate Accounting Department
- Acts as liaison between Field Office and Corporate Office to include, client billing, vendor payments, and timesheet management; process Human Resource requests as needed
- Maintains project contract records and enters daily updates into the project management tracking system
- Processes material and equipment orders in line with contract terms and schedules
- Coordinates submittals and processes change orders
- Conducts research, maintains databases, reconciles data, and resolves discrepancies
- Prepares and edits numerous simple and complex letters, reports, and spreadsheets which may include construction project status reports, running queries, workflow reports, schedules, estimates, budgets, etc.
- Maintaining and monitoring project plans, project schedules, work hours, budgets, and expenditures
- Capture meeting minutes and document and follow up on important actions and decisions
- Manage inventory by receiving, identifying, cataloging, and recording the location of inventory
- Track supply levels and submit purchasing recommendations to project managers
- Inspect, monitor, and report misuse of materials, equipment, and tools
- Manage field crew requests for materials
- Meet with the construction manager daily to determine necessary tools, equipment, and materials for field crews ensuring all field crews are properly staged each day
- Maintain a safe and clean work environment by enforcing procedures, rules, and regulations
- Analyze risks and opportunities, work with project managers to eliminate obstacles
- Other projects or duties as assigned
Requirements
- High school diploma or equivalent required; Bachelor's degree in business or related field preferred
- 2+ years experience in a similar role managing materials and inventory
- Exceptional verbal, written, and presentation skills with impeccable attention to detail
- Ability to work effectively both independently and as part of a team in a fast-paced and rapidly changing environment
- Competency in Microsoft and G-Suite applications
- Ability to work on tight deadlines; excellent time management skills are essential
- Knowledge and operational skills of various machinery such as booms, forklifts, etc. is required; OSHA forklift certification preferred
- Familiarity with supply chain and inventory management preferred
- Experience with AirTable preferred
- Experience with telecommunications preferred
- Basic Math skills and data entry skills
- Valid driver’s license required; Class A CDL preferred with a clean driving record
Physical Requirements
- Must be physically fit, able to negotiate all types of environments that may include walking, standing, kneel, crawling, and an ability to lift up to 100 lbs. for extended periods of time
- Prolonged periods sitting at a desk and working on a computer
- May experience long hours of standing and moving
