Today, we have 14 campuses that are enhancing the lives of low-income seniors, youth, and families. We are looking for a Program Manager.


The Program Manager provides high-level support for the CPO including report preparation, operational support, calendar management, response to all correspondence and successful coordination of business meetings. Serves as liaison between the CPO and other departments within Program, Workforce Development, Housing Retention and Economic Initiatives (Program) to support the daily operational needs of the department. Duties may include researching/compiling information; coordinating activities between departments and/or outside services. Maintains data; generates and formats reports and other documents using a full range of computer software skills including spreadsheets, word processing, desktop publishing, database management, presentation, software, etc. Will assume responsibility for special projects relating to department functions.


Executive Support

  • Completes a broad variety of high-level administrative tasks for the CPO including: managing an active calendar of appointments; completing expense reports; composing and preparing correspondence including confidential information; compiling documents for Programs related meetings and special projects, as needed.
  • Plans, coordinates and ensures the CPO schedule is followed and respected. Provides "gatekeeper" and "gateway" role, creating win-win situations for direct access to the CPO’s time.
  • Communicates directly, and on behalf of the CPO, with the management team, staff, partners and others, on matters related to CPO programmatic initiatives.
  • Researches, prioritizes, and follows up on incoming issues and concerns addressed to the CPO, including those of a sensitive or confidential nature. Determines appropriate course of action, referral, or response.
  • Create long- and short-term plans, including setting targets for milestones and adhering to deadlines.
  • Provides a bridge for smooth communication between CPO’s office and internal departments; demonstrating leadership to maintain credibility, trust and support with the Programs’ management staff.
  • Works closely and effectively with the CPO to keep her well informed of upcoming commitments and responsibilities, following up appropriately. Acts as a "barometer," having a sense for the issues taking place in the environment and keeping the CPO updated.
  • Successfully completes critical aspects of deliverables with a hands-on approach, including drafting acknowledgement letters, personal correspondence, and other tasks that facilitate the CPO’s ability to effectively lead the department.
  • Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures.
  • Performs routine bookkeeping tasks such as reviewing, coding and processing invoices; preparing and processing various accounting documents as well as budget modifications, Payroll Status forms, etc.

Contracts and Grants

  • Serves as the CPO’s administrative liaison to the various Programs.
  • Creates a database and inputs all contract pertinent information including scopes of work and corresponding budgets and keeps updated. Includes budget adjustments and modifications. Maintains files.
  • Creates a database to track RPFs and grants pursued with pre-conference dates, proposal due dates and results and coordinates with the grantwriter(s).
  • Maintains the department’s records and management activities.
  • Develops materials such as Power Point presentations, spreadsheets, etc. to assist with communications, and maintains departmental files.
  • Maintains discretion and confidentiality in relationships.

Programs’ Team Liaison

  • Participates as an adjunct member of the Programs’ management team including assisting in scheduling meetings and attending all meetings and taking comprehensive notes.
  • Coordinates the agenda of senior management team meetings and off-sites, and all staff meetings.
  • Facilitates cross-program communication and assists with timely responses to requests.

Communications, Partnerships, and Outreach

  • Ensures that the Programs’ management teams provide timely updates, reports, client stories, etc.
  • Collects various Program updates for submission to Board of Director packets.

Qualifications

  • AA Degree is required. Preferred Bachelor’s Degree in Administration; or equivalent combination of education and experience in Administration.
  • 5 years of experience providing administrative support, with at least 2+ years’ experience in a comparable role as an assistant to a senior executive or as a board liaison, preferably in a non-profit organization.
  • Independent thinker and demonstrated attention to detail
  • Excellent customer service and tech-savviness skills
  • Professional attitude with a high level of personal integrity, maturity, and business judgment required
  • Able to multi-task, prioritize task, meet deadlines, able to do presentations and to maintain confident information
  • Ability to remain tactful under pressure and present a professional demeanor and communication style with co-workers in a multicultural setting
  • Ability to make solid decisions, problem-solve and simultaneously handle multiple job tasks and priorities
  • Maintain the highest level of confidentiality when dealing with client, vendor, employee records and financial information
  • Strong written and verbal communication skills. Must be a well-organized professional who thrives in a team-oriented environment

Requirements

  • Proficiency with MS Office Suite (Word, Outlook, Excel, PowerPoint)
  • Fingerprinting Clearance (DOJ/FBI) and Clearance Child Abuse Index
  • Current CA Driver License; current auto insurance and a clean driving record
  • Covid-19 Vaccine Record, Influenza
