Job Purpose:
Under the supervision of the Manager, Clinical Education and Counseling the Program Assistant is responsible for supporting Counseling and Wellness Programs to meet or exceed program objectives, by performing various administrative duties. This role will interact with various people to include the community, clients, management, and executive administration. Performing work of a confidential nature while exercising the highest degree of discretion.
Essential Duties:
- Serve as the first point of contact for the department.
- Assist the Program Manager and staff by understanding all programs, objectives, and outcomes.
- Performs outbound recruitment and/or follow-up calls to applicants for information sessions, enrollment, and orientation with excellent customer service.
- Assist with compilation of data and preparation of reports (i.e. weekly, quarterly, monthly, annual) using Microsoft Office programs such as Outlook, Word, Excel, Powerpoint, etc.
- Responsible for records management, creating permanent files, auditing and maintaining files, which include supporting documentation for program approval and other vital documents. Ensuring applications and other forms are complete and legible.
- Assist with data entry into all systems related to the program or agency for data tracking and performance.
- Cross-reference database records against paper records to verify the accuracy of specific data .
- Assist staff in writing correspondence about outreach events, program acceptance, and other vital communications.
- Prepare, edit, and proofread documents/or confidential documents.
- Organize and schedule meetings, appointments, on-site outreach events, and home visits.
- Conduct research to create presentations.
- Attend meetings and workshops as assigned, taking minutes capturing relevant information. Prepare and email minutes to the manager and relevant staff for review.
- Maintaining equipment inventories.
- Responsible for submitting requisitions to place orders for supplies using a web-based program.
- Performs special projects and other related duties as a ssigned.
Skills/ Qualifications:
- Advanced knowledge of business English, spelling, punctuation and composition.
- Analytical ability is required to gather and summarize data for reports and find solutions to various administrative problems.
- Attention to detail in composing and proofing materials.
- Demonstrated intermediate and/or advanced knowledge of and experience using computer programs such as Microsoft Office (Windows10), including Word, Excel, PowerPoint, and Outlook, etc.
- Must type at least 35-40 wpm.
- Ability to schedule conference calls via Zoom or other web-based telecommunications systems.
- Proven ability to write professionally written letters, and emails for business-related use and participant support.
- Must possess strong written and oral communication skills.
- High level of integrity to maintain confidential information and communicate effectively about sensitive issues through both oral and written means.
- Excellent time management skills, ability to multi-task and prioritize work to meet deadlines.
- Ability to work in a demanding, fast-paced environment with demonstrated poise, tact, respect, and diplomacy.
- Must possess awareness, knowledge, and sensitivity to socio-economic and culturally diverse backgrounds of the targeted populations served.
- Requires valid driver’s license with an acceptable driving record and current auto insurance.
- Ability to work in a team setting, maintain professional relationships with staff, participants, and guests.
Experience/Education/Training/Certifications:
- Minimum of a High School Diploma, Associate Degree preferred.
- At least four years of relevant office management and or administrative/clerical experience. Preferably in one of the following areas: Human Services, Social Services, or Case Management.
