Job Summary
Through research awards, events fellowships, and an award winning journal the Harvard Data Science Initiative works to unite the data science community at Harvard and beyond. With rigorous statistical analyses of terabytes of data, the work of Dr. Dominici's team has directly and routinely impacted air quality policy, leading to more stringent ambient air quality standards in the US.
Reporting to the Assistant Director of Programs and Operations (ADPO), the Program Assistant will provide administrative support to the Harvard Data Science Initiative (HDSI), including the Harvard Data Science Review (HDSR), and to Professor Francesca Dominici in her roles of faculty co-director of the Harvard Data Science Initiative and Professor of Biostatistics.
Position Description
Specific responsibilities will include but not be limited to:
- Schedule meetings for the HDSI co-Directors, HDSR Editor-in-Chief, and the HDSI Executive Director.
- Assist HDSI co-Directors, HDSR Editor-in-Chief, and the HDSI Executive Director in managing communications including word processing letters, memos and reports, and answering the phone.
- Assist the ADPO in compiling the budget and quarterly financial reports.
- Order food and manage logistics in preparation for HDSI meetings, including room booking and zoom set up.
- Handle travel and expense reports for the HDSI and HDSR.
- Provide general support to the office including but not limited to ordering supplies, coordinating building maintenance requests, and distributing mail.
- Assist with HDSR and HDSI events as needed.
- Occasional data entry using Salesforce.
- Manage Professor Dominici’s calendar and schedule meetings, including for her research lab.
- Process Professor Dominici's corporate card reimbursements; submitting all travel reimbursements; and ensuring payment requests are submitted in proper format and in a timely manner
- Create and maintain filing system(s) for Professor Dominici, both electronic and paper, as needed
- Book and facilitate travel arrangements for Professor Dominici.
- Maintain Professor Dominici web page, curriculum vitae, and PMCID.
- Provide general administrative support to Professor Dominici including but not limited to room scheduling, catering, IT requests, and supply ordering.
- Other duties and special projects as required.
Basic Qualifications
A minimum of three years of related experience; education beyond high school may count towards experience.
Solid computer skills and the capability to master new software applications and technologies in database management. Advanced expertise in the functional use of Excel and Word (mail merges, report generation) is required.
Excellent word processing and accurate keyboarding skills are required.

Excellent organizational skills and the ability to be detail-oriented
Comfort working competently and efficiently in a multi-task environment, with the ability to prioritize responsibilities.
Mastery of English grammar, spelling, and punctuation.
Ability to accurately proofread and edit correspondence.
Strong interpersonal skills that include excellent phone manners and personal presentation.
Experience interacting with corporate executives and senior-level staff preferred.
Additional Information
This position may start hybrid (some on-campus/some remote work), with the transition to full-on campus in Cambridge if required by the department. Work options for this role will be discussed during the interview process.
