The Notre Dame Institute for Advanced Study (NDIAS) is a university-wide research institute based in Notre Dame Research. The NDIAS promotes issue-engaged, inclusive, and interdisciplinary study of questions that affect our ability to lead valuable, meaningful lives. Each year, the NDIAS convenes a diverse group of faculty fellows, graduate students, and undergraduate scholars to participate in a residential research community, with topics organized by an annual theme. Additionally, NDIAS sponsors teaching lab fellowships aimed at developing undergraduate courses in areas of human flourishing. Finally, NDIAS hosts artists and practitioners -in-residence, and serves as a campus convener to advance Notre Dame's mission through interdisciplinary efforts.

The Program Administrator will serve as a skilled, multi-focused team member in her/his ability to advance programs that are strategic areas of growth for the Institute. This position will co-facilitate educational seminars, programs, and efforts that support Notre Dame students affiliated with NDIAS. Further, as NDIAS expands and grows, this position will be dedicated to a new dimension of the Institute's work by developing a data-tracking strategy that captures and assesses the effectiveness of our program models and the outcomes stimulated by our research and teaching fellows. The Program Administrator will also support several operational areas of our unit such as our communications and campus/external engagement efforts, conferences, events, and other needs identified by NDIAS leadership. She or he will be expected to represent the Institute and its strategic priorities to both internal and external partners and assist in leading student-facing seminars.
Responsibilities of the Program Administrator include:
Project Management:
- Facilitate and assist in the planning, implementation, and advancement of NDIAS strategic priorities identified by the Director and Managing Director, particularly the research fellowships, teaching lab fellowships, and Zahm retreat.
- Liaison with teaching labs fellows, research for and organize course content, and assist with administrative tasks as needed.
- Organize the NDIAS film series, pop-up courses, retreats, community engagements, and trips for the undergraduate research fellows program.
- Research for and help to develop the annual Zahm Retreat program content, location, and flow. Support faculty partnership building and stakeholder engagement in the Zahm Retreat.
- Oversee data collection, program evaluation, and outcomes for research fellows, teaching lab, the Zahm Retreat, and other key strategic initiatives as needed
- Ensure relevant data is shared with the NDIAS leadership and colleagues in a timely fashion to support reports, story-telling, grants, and other communications.
- Attend and help to coordinate weekly seminars and activities for student, faculty, and teaching fellows.
- Lead other special projects as determined by the Managing Director.
- Assist the Asst. Director of Communications and Fellowship with website maintenance and enhancements, along with updates to the publication database.
- Facilitate and execute marketing and communication strategies to relevant parties on behalf of the undergraduate research fellowship, teaching lab fellowship, and faculty fellowship programs.
- Assist the Asst. Director of Communications and Fellowship with publicity of NDIAS events and programs, including email marketing campaigns, poster distribution, and fellowship advertising campaigns.
- Lead social media outreach and engagement.
Administrative and Hospitality Support:
- Assist the Director, Managing Director and Assistant Director of Events and Fellowship with organizational and administrative tasks, as needed.
- Manage office timelines, support calendar scheduling for the Director, and Managing Director as needed.
- Develop, coordinate, and support onboarding processes and procedures for annual fellowships, student workers, and/or new hires.
- Assist with NDIAS events and projects such as the annual opening reception, staff and fellows retreats, tailgate, and monthly community events, as needed.

Minimum Qualifications:
- Bachelors degree (4 years)
- 3 to 4 years of professional experience, ideally in an academic setting
- Flexible and adaptable within a fast-paced, expanding work environment
- Highly organized with a strong record of collaboration, teamwork, and problem-solving
- Self-starter and skilled in managing multiple and complex projects simultaneously
- Service-oriented, values hospitality, and enjoys an event-heavy work environment
- Must be available for evening work events, 2-3 times a month on average.
Preferred Qualifications:
Masters or Terminal degree
