Perioperative Operations Specialist

Under direct supervision, monitors, controls and records the movement of patients, physicians, staff and visitors in the Operating Room. Exercises cooperation, diplomacy, flexibility, understanding and patience in dealing with customers. Performs a variety of complex and responsible clerical tasks. Works in partnership with other staff members and physicians; and proactively identifies and provides for the customers’ needs using appropriate quality service standards according to UMSJMC policies.
1. Monitors physical location and flow of all patients within the operating room area.
2. Communicates any problems, concerns or issues promptly to the nurse and follows unit standard emergency protocols.
3. Maintains appropriate communications between Operating Room areas, physicians, OR Charge Nurse, Anesthesia Supervisor, patient units and ancillary departments concerned with operating room activities.
4. Receives all incoming calls for unit and staff, relays calls and/or takes messages as appropriate with no personal calls put into operating suites.
5. Accurately and completely posts all emergency and elective waitlist surgical procedures and channels emergency postings to Anesthesia Supervisor, OR Charge Nurse and Central Sterile Processing (CSP) Supervisor or Manager.
6. Communicates with operations coordinator concerning emergency posting, delays, schedule changes, location of personnel, patient status, etc. to ensure that the OR Charge Nurse and Anesthesia Supervisor have the most current information that impacts patient flow.
7. Coordinates communication with prep room and recovery in regards to patient flow/add-ons.
8. Responsible for notifying the OR Charge Nurse of any incomplete documentation, quality tracking information and charge capture information.
9. Under the direction of the OR Charge Nurse, obtain appropriate preference lists for posted procedure(s) and picks case cart as needed.
10. Provides clerical support activities (keyboard, filing, photocopying, mailing, errands, etc) as requested.
11. Provides a customer oriented reception and information services for patients, visitors, family members and patient care providers. Coordinates message and information to and from patients and patient care providers. Establishes effective customer oriented relationships with internal staff, patients, visitors and healthcare providers. Demonstrates appropriate verbal and telephone skills.
12. Assures the integrity, completeness and confidentiality of the patient record, including compiling and assuring completeness at discharge and transfer, according to standards set by Medical Records. Files patient information appropriately and notifies appropriate staff members of new information that affects patient care or patient flow.
13. Displays a commitment to the values of teamwork by building strong relationships with patients, families, co-workers and the surrounding community; and by being cooperative and collaborative in the performance of duties to promote a unified and spirited workplace.
14. Coordinates the movement of supplies, laboratory specimens, and other patient care and administrative materials to and from the Operating Room in an appropriate and timely manner. Coordinates the ordering, receiving and distribution of mail and supplies. Assures that laboratory specimens are complete before they leave the unit. Assists with running specimens to pathology and retrieving blood products when necessary.
15. Maintains the order and appearance of public areas (nurse’s station, patient areas, etc). Notifies support services when there are issues related to housekeeping or facilities maintenance. Follows-up on identified issues and assures action is taken. Demonstrates a professional and customer-oriented appearance and demeanor at all times.

What You Need to Be Successful:
- High School Diploma or equivalent (GED) is required. Associates Degree preferred.
- One-year clerical experience in a clinical setting required; experience in Perioperative Services preferred.
- Experience with clinical information systems including medical terminology preferred
- Required Skills: Strong Verbal Communication Skills, Strong Listening Skills, Excellent Organizational Skills
- Ability to organize work priorities, perform several duties simultaneously and function in stressful situations. Must possess highly effective communication and interpersonal relationship skills to effectively interact with patients, families, nurses and other staff.
