JOB SUMMARY
The Payroll Specialist will primarily be responsible for applying company policies and procedures to process payroll as directed by the Payroll Lead. The Payroll Specialist will verify accuracy of time reporting and reconcile salary and benefits information through the ADP Workforce Now system for the purpose of completing accurate bi-weekly multi-state payroll processing, and related periodic reports for all entities.

PRIMARY DUTIES AND RESPONSIBILITIES

  • Collect and process salary and payroll related change information from People and Culture and/or time reporting system. Assure that all changes are properly authorized in accordance with company policies, federal, state, and/or local laws.
  • Process multi-state company-wide payroll (including commissions/bonuses/off cycle pay) for all entities in a timely and accurate manner. Collaborate with international accounting vendor for UK payroll processing. Process, distribute, record, and maintain all payroll-related information.
  • Verify 401 K enrollment accuracy in ADP. Serve as back-up support to Payroll Lead to provide internal 401 k administration support.
  • Assist Payroll Lead to prepare various payroll tax returns, including underlying support. Ensure all applicable state and local tax jurisdictions are registered and filed in a timely manner. Collaborate with ADP to resolve payroll tax matters and resolve inefficiencies.
  • Ensure all payroll related transactions (payroll, accruals, commissions, bonuses, 401 K match, taxes, etc.) are appropriately recorded via journal entries in the company's ERP system.
  • Assist Payroll Lead in preparation of monthly, quarterly or annual reports of compensation/payroll information. Support the annual payroll, all state worker's compensation, and 401 K audits.
  • Provide support to the following (including but not limited to): external auditors, Legal, People and Culture, and Finance Departments.
  • Support ad hoc payroll information requests: work with ADP to develop reports and forms to provide the information to support underlying requests.
  • Ad hoc reporting and analysis/ other duties as assigned.

EDUCATION

  • Bachelor’s Degree in Accounting, Finance, Business, or related field preferred, or equivalent combination of education and experience.

LICENSES & CERTIFICATIONS*

  • CPP preferred.

REQUIRED EXPERIENCE*

  • 3+ years’ experience processing multi-state payroll, to include preparation, internal controls, and taxes.
  • 2+ years ADP WFN experience, implementation experience a plus.
  • 2+ years relevant experience using financial software, NetSuite is a plus. Recording Journal entries and reconciling month-end.
  • Proven organizational skills and ability to handle confidential matters and information with and confidentiality.
  • Requires experience interfacing with all levels of the Company.

REQUIRED SKILLS*

  • MS Office (Word, Excel - Vlookups & Pivot Tables).
  • Must be strong in basic accounting principles, have an aptitude for computer hardware and

so are systems, and have the appropriate personal communication skills necessary to work
with coworkers and all levels of management.
