Position Summary: Our company is seeking a Payroll Assistant to help with our payroll operations working in our Utica, NY office. This is primarily a data entry position in which the person will be responsible for entering new hires into our payroll software, as well as updating various fields in our payroll database to include but not limited to compensation, deductions, direct deposit information, paid time off accruals, etc. The ideal candidate should have experience with payroll processing and Human Resources, along with a strong familiarity with Payroll Software and Microsoft Office. This position requires a high degree of confidentiality and all confidential and sensitive data must be secured at all times.
Job Duties and Responsibilities include:
- Gathering and examining of timesheets to ensure validity
- Ensure that timesheets follow corporate policies
- Enter new hires into the payroll software and update terminated employee’s profile
- Assist in payroll processing and reporting
- Resolve payroll discrepancies
- Assist in updating compensation, deductions, direct deposit and PTO accruals
- Assist in payroll and timesheet audit activities
- Respond to payroll inquiries from employees in a timely manner
- Assistant in the preparation of data as needed by team members
- Provide backup for other payroll team members during time off (non-essential function)
- Work closely with HR as needed
- Complete all required compliance training on an annual basis
- Perform other duties as assigned
Requirements and Qualifications:
- High school graduate or equivalent is required
- Associates degree in Accounting, Finance, Business or similar field preferred
- 2-3 years payroll experience, along with experience in Data Entry; Direct experience with Paylocity software a plus
- Ability to effectively multi-task and remain calm under pressure while ensuring tight deadlines are met; ability to resolve problems as they occur
- Discretion – protect and maintain all sensitive data and adhere to all privacy protocols
- Excellent attention to detail
- Strong analytical skills
- Ability to effectively communicate with employees at all levels in written and verbal format
- Basic understanding of DOL laws
- Time management and strong organizational skills
- High proficiency in Microsoft Excel
- Team player
