Position Summary:

The Registration Supervisor is responsible for supervising and facilitating day-to-day operations of the medical and dental front offices. This role is pivotal in ensuring overall business operations of the medical and dental front offices to run efficiently and professionally.

Essential Functions:

  • Monitor providers’ schedules to ensure all patients are scheduled appropriately and in a timely manner
  • Perform monthly audits of registration staff to ensure operational excellence
  • Assist center and organization in achieving optimal quality, financial and performance metrics
  • Assist with Patient Engagement initiatives and actively work to improve the patient experience
  • Exhibit AIDET tactics and assists with training registration staff of AIDET standards
  • Provide direct supervision to registration staff and, in the absence of adequate staffing, is expected to assume and perform the responsibilities and duties of direct registration staff
  • Assist with orientation, training and evaluation of new hires
  • Assist with annual performance evaluations and continual assessment of registration staff
  • Serve as liaison between clinical, administrative staff and other ancillary services
  • Serve as Brand Ambassador for Tampa Family Health Center and champion TFHC initiatives
  • Ensure accurate front-end revenue cycle operations
  • Work with front-end team to reduce first pass denials, secures eligibility, referrals and capture of point of service cash
  • Assist with daily cash collection through reconciliation and cash control policy enforcement
  • Appropriate action planning and process improvement
  • Utilizes critical thinking skills and is solution-focused in problem resolution
  • Exhibit the ability to multitask, remaining calm under stressful situations and problem solving in a timely manner
  • Facilitate consistent and productive formal and informal communication and practice rounding
  • Assigns appropriate tasks and provides resources to allow staff to perform successfully and provides timely feedback for both positive actions and for any area of improvement
  • Responsible for maintaining a pristine internal and external environment; report all facility and grounds issues, as appropriate
  • Mitigate risk and liability via policy enforcement and utilization of critical thinking skills and sound judgement
  • Report and submit incident reports, when appropriate

General Duties:

  • Support the Mission, Vision and Values of TFHC
  • Compliance with and control of confidential data ensuring privacy and security standards
  • Responsible for supervision and coordination of day-to-day administrative operations, provides supervision of assigned practices to ensure adherence to all Tampa Family Health Center (TFHC), HRSA, State, Federal and accreditation agency rules and regulations
  • Demonstrates Service Excellence and conveys professionalism at all times and strong motivation to achieve optimum results
  • Assist internal staff, other health care providers, and third-party payers in performing QI chart audits
  • Ensure a patient-centered environment that promotes excellent communication and teamwork
  • All other duties as assigned

Knowledge and Experience:

  • Minimum (1) year supervisory experience
  • Ability to navigate and enter data into an electronic health record
  • Proficiency in use of Microsoft products such as Word, Outlook, Excel and PowerPoint
  • Strong communication skills, both oral and written
  • Ability to analyze and resolve billing, collections and claims problems or issues
  • Ability to work in a fast-paced environment, working with several tasks simultaneously
  • Possess a clear understanding of the financial, operational, administrative and regulatory aspects of the role and organization

Education, Certification Training and License:

  • Associates’ Degree with (1) year of supervisory experience required
