Purpose of the Position:
The parts manager is responsible for the parts inventory and the results of that department. The position requires an individual with a knowledge of parts, good planning and administrative skills, and the ability to lead the department. The parts manager controls a significant portion of the dealership’s cash investment, and through parts availability, influences the efficiency of the service department. It is critical for this individual to work effectively with the service department in order to achieve the combined results needed from both departments.
Essential Job Functions:
- Forecasts goals and objectives for the department and strives to achieve them
- Select, train, and supervise all employees in the parts department while employing successful staff utilization techniques and devising a job description for each position
- Prepares and administers an annual operating budget for the parts department
- Maintains a balanced inventory consistent with the requirements of the service department, wholesale accounts and counter retail customers
- Develop, monitor and adjust pricing policies that produce an acceptable level of gross profit based on various customer categories while maintaining customer satisfaction
- Oversee inventory management procedures including ordering, receiving and billing out of parts, along with monthly reconciliation and perpetual inventory counts
- Set and adhere to policy on special ordering of parts including, but not limited to collecting payment, ordering, receiving, contacting customers, scheduling, etc
- Supervise stock order procedures
- Monitors and adjusts inventory to minimize parts obsolescence
- Manages all cores and returns processes to ensure the dealership recovers the full credit from the factory
- Works with the Service Department Manager to ensure a timely turnaround of parts needed for jobs in the shop, including multiple methods of sourcing and logistics
- Reviews daily, weekly and monthly departmental reports
- Develops, enforces and monitors guidelines for working with internal, retail and wholesale customers to promote customer satisfaction
- Utilizes a lost sales tracking report to identify inventory opportunities
- Responsible for departmental profitability
- Works to develop and improve existing parts department processes
- Analyzes departmental operations and storage layout and revises as needed for operational efficiencies and to maintain an organized department
- Coordinates a prompt, efficient and timely flow of paperwork
- Directs shipping and receiving efforts to ensure timely processing
- Works with retail and wholesale customers, technicians and dealership personnel
- Handles customer complaints immediately and according to dealership guidelines
- Responsible for the security of the inventory
- Assists in the collection of past due accounts
- Enforces safety requirements, including but not limited to forklift training and operation, processing of MSDS sheets on all products carried and OSHA Right-to-Know
- Complete and maintain up to date HAZMAT training in accordance with DOT regulations
- Other duties as assigned
Daily Tasks:
- Stock orders, automatic orders, and special orders
- Factory returns and claims
- Handling bin check reviews
- Special order parts checks
- Invoice reconciliation
Physical Requirements:
- Must be able to lift over 50lbs
- Must be able to work at least 40 hrs per week
- Must be able to use a step ladder
- Must be able to reach over head
Qualifications:
- High school diploma or the equivalent. Ability to read and comprehend instructions and information
- Valid driver’s license and acceptable driving record
- Basic Computer Skills
- Previous Parts Department related experience
- Familiarity with Parts Catalog and database systems (DMS)
Job Type: Full-time
Pay: $40,000.00 - $60,000.00 per year
