POSITION SUMMARY : The Operations Manager (OM) manages the day-to-day business operations for specified program locations within the Children's Services by overseeing the operational logistics; formulating and implementing departmental procedures; and monitoring adherence to organizational rules and regulations and ensuring efficient and effective business operations. The OM is program liaison to corporate purchasing, information technology, vendors, housekeeping, facilities, real estate, and maintenance. The Operations Manager is guided by Elwyn's CORE values, and their work ensures that employees have the equipment and resources they need to provide the best possible service to children and their families.
DUTIES AND RESPONSIBILITIES:
  • Provide supervision of assigned staff in the areas including, but not limited to, recruitment, selection, leadership, coaching, training, performance management, promotion, discipline and termination
  • Respond to requests for furniture or equipment moves; report, document, and resolve safety issues; oversee meeting calendars and scheduling; and monitor room capacity limits for employee safety as the primary liaison for property/facilities and the contact for all program offices, schools, and classrooms for commercial property management, and facility rentals.
  • Educate employees on fire drill, safety practices, evacuations, personal protective equipment (PPE), and shelter-in-place procedures to ensure a safe workplace environment
  • Identify areas for operational improvement and develop comprehensive project plans that address identified areas, fill specific program and /or regional needs, and/or support department-wide employee engagement by providing the required furniture, equipment, building access, and conditions (e.g., lighting, temperature control)
  • Create and manage purchase requisitions in organizational purchasing system in accordance with company policy/negotiated terms, maintain the service line credit card and serve as the primary liaison for credit card purchases, and manage order requests in systems (e.g., Oracle, and Navision) to ensure a streamlined and accountable method of ordering, tracking, and inventory management
  • Maintain staff directories and active roster of building personnel for planning, safety, and operational purposes
  • Monitor Service Level Agreements (SLA) with appropriate business vendors, operationalize pick up drop off, and/or schedule and oversee necessary repairs, and develop and maintain vendor relationships and partnerships to receive favorable agreement terms
  • Spearhead, originate and/or facilitate the drafting and issuing of staff communication updates, as required, including but not limited to program updates, inclement weather announcements, educational break protocols, and relevant changes and opportunities which impact the respective Children's Services programs
  • Oversee periodic special projects in support of the program (bulk mailings, blood drives, recreational activities etc.) and utilization of temporary support staff
  • Work collaboratively with Information Technology (IT) to assign Elwyn issued laptops and phones to new staff; update and maintain IT log to record all laptops and phones issued; educate employees on lost and stolen equipment procedures, and follow up with other departments to secure device(s) (e.g., IT (Service Desk), Purchasing, Mobile Solutions (vendor), Quality Improvement, and Risk Management)
  • Terminate, suspend, and reorder new mobile devices via the mobile solutions website/portal as necessary; collect equipment from terminated staff
  • Maintain working knowledge of the Americans with Disabilities Act of 1990 (ADA) and revised regulations implementing the requirements of Title II (state and local government services) and Title III (public accommodations and commercial facilities)
  • Coordinate hiring dates for new hires, assist with first-day paperwork, and provide assigned program orientation as the New Hire Orientation (NEO) point of contact and as a NEO presenter
  • Provide information, technical assistance, and guidance to employees on the use of electronic timekeeping system as the department's electronic timekeeping ambassador/system maintenance liaison
  • Oversee and maintain the educational records release and management system, current, and offsite archived records, act as signatory, review, approve records release requests from individuals and agencies including, but not limited to governmental agencies, attorneys, courts, and custody authorities, where applicable
  • Develop, implement, and maintain filing systems to ensure all information within is current, where applicable

DIRECT REPORTS: Operations Coordinator(s)

CONTACTS: Elwyn Staff, community partner agencies, School District representatives, governmental agency representatives, vendors, building management staff, custodians, security, maintenance staff, and families.

EDUCATION/EXPERIENCE/SKILLS REQUIREMENTS:

  • High school diploma or equivalent; Bachelors or Masters in operations management, business administration, or related field preferred
  • Five (5) years' experience in operations, project management, or comparable field
  • Two (2) years of supervisory experience, preferred
  • Non-profit human services experience highly preferred
  • Knowledge of regulations pertaining to early intervention and educational records preferred
  • Experience leading process and/or operational improvements
  • Demonstrated ability to work effectively as part of a team
  • Ability to work in a fast-paced environment and manage and prioritize multiple, often competing, priorities
  • Demonstrated strong attention to detail
  • Demonstrated strong time management and organizational skills
  • Demonstrated excellent judgment with the ability to independently solve problems and make decisions with little or no need for direct supervision
  • Demonstrated ability to anticipate future needed changes or identify problem areas and take effective actions
  • Must possess excellent customer interaction, collaboration, presentation, and written and verbal communication skills
  • Demonstrated intermediate experience with Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint, ADP Enterprise e-Time, Oracle NetSuite, and report-writer experience preferred
  • Experience using Electronic Student Records (ESR) preferred
  • Must have current, valid driver's license in state of residence, three (3) years driving experience in the United States, and acceptable driving record
