The Office Manager, reporting to the Plant Manager, is responsible for having an ongoing communication with customers and CSRs to ensure new cars, approvals and dispos are received in a timely manner and invoicing is done upon completion of cars. This person will support shop managers, as well as supervise clerks to ensure efficient shop operations. Primary responsibilities and/or essential functions include, but are not limited to:
Responsibilities
- Manage/train clerks
- Receive cars – OTMA Approvals – Last Contents
- Manage dispo request and creation of waybills
- Enter and update scheduled release dates (SRD)
- Upload Billing Repair Card (BRC) into customer websites
- Obtain and track approvals
- Release and invoice car records
- Payroll/attendance – back up as needed
- Ensure car files are easily accessible and processed as required
- Manage enroute board as required
- Be willing to assist on off shift as needed
- Be responsive to customer communications
- Work responsibly and efficiently with limited supervision/direction
- Think outside the box
- Be willing to take on other tasks and support all areas of operation
- Multitask with good problem-solving skills and offer solutions to problems
- Excellent written and verbal communication skills
- Detail oriented with excellent organizational and time management skills
- High School Diploma required
