Office Manager Expectations

  • First and foremost, you’ll be answering the phone and replying to inquiries from prospects and customers via email and texts; this will take up to 10% of your day. It also means you’ll need to learn our industry and business to be able to answer questions effectively.
  • As you speak to customers and prospects, you’ll enter their information accurately into Acculynx and determine what their needs by asking good questions, then assign the appropriate internal action.
  • One of the most detailed activities is working with property insurance, which includes interacting with insurance adjusters, understanding what is and is not covered by a homeowner’s policy, and writing up and submitting paperwork to maximize our reimbursement from the insurance company.
  • You’ll be responsible for protecting the company from liability by ensuring that all subcontractor paperwork is correct, complete, and up-to-date, including certificates of insurance, W-9s, and signed contracts.
  • To keep our crews busy, you’ll keep track of what materials have been ordered, what materials have been received, which jobs have had contracts signed and deposits received, and group those that are ready by location to maximize productivity.
  • Through Acculynx, you’ll monitor and actively manage each customer to shepherd them through each stage of the process.
  • Other administrative items include utilizing Quickbooks to run reports, exporting reports into Excel for job costing, doing accurate and timely data entry, ensuring contracts are signed by customers, sending invoices to customers, and registering customers for their warranty.
  • We’ll look to you to make sure payments are received from customers quickly so we can get started on their project, and then follow up at the end of the job to receive the final payment.
  • You’ll be responsible for keeping our crews on the road by making sure they get maintenance regularly, they’re all insured, and their registration is done on time.
  • We’ll need you to be resourceful and proactive in dealing with issues that may arise.

Office Manager Skills and Experience needed to be successful:

  • Administrative support experience
  • Communication decorum by phone and email (years of customer service experience)
  • Basic bookkeeping knowledge a plus
  • Excellent computer skills and the ability to learn new technology
  • Solid communication skills, both written and verbal
  • Experienced proficiency in Microsoft Excel
  • Comfortable using electronic communication, storage, etc. (Google Workspace, Microsoft Outlook)
  • Experience with QuickBooks
  • Ability to learn and adapt
