Office Coordinator
Astrolab is seeking an Office Coordinator to provide support to our growing team in Hawthorne, CA. The successful candidate will be self-motivated, quick-thinking, flexible, and able to juggle multiple and diverse responsibilities with a strong emphasis on organization and attention to detail.
Responsibilities:
- Greet and sign in visitors
- Maintain cleanliness of reception/kitchen areas
- Schedule meeting requests and keep calendar
- Coordinate travel arrangements (domestic and international)
- Perform administrative tasks such as compiling reports, scanning, etc.
- Develop and maintain positive relationships with clients, staff, & vendors
- Coordinate activities, events, and meetings both onsite and offsite
- Coordinate and/or plan community engagement, marketing, and recruiting events
- Manage special projects as designated
- Assist with facility vendor management and coordination
- Support HR with interview scheduling, onboarding/offboarding activities
- Support accounts payable and accounts receivable
Basic Qualifications:
- Bachelor's degree OR 2+ years of professional experience in an office or customer service setting
Preferred Skills and Experience:
- Friendly and professional disposition
- Organized and detail-oriented
- Ability to multi-task and work in a start-up environment
- Ability to be resourceful and proactive; seeks innovative solutions to problems
- Excellent verbal and written communication and presentation skills
- Experience with Microsoft applications (Teams, SharePoint, OneDrive, etc.)
- Experience with accounting software (Bill.com, Xero, etc.)
- Ability to work with and maintain confidential information
Benefits and Compensation:
- Base salary range: 42,000 – 60,000 (commensurate with skills and experience)
