Department: Business Operations – Central Office
Title: Office Associate
Location: Bronx Zoo
Job Type: Part-time
Pay Rate: $16.50 – $17.50 per hour
Reports to: Assistant Manager, Central Office

Position Summary
The Business Services Central Office team is seeking a self-motivated, enthusiastic individual who is able to maintain an efficient & effective office environment, handle operations in a fast pace setting and provide administrative support to the department management team.

Core Responsibilities Include:
Fulfillment
o Fulfil uniform request for Business Services, which includes distribution, and record keeping of items given.
o Fulfil and distribute seasonal incentive prizes to all Business Services staff.
o Process inbound & outbound e-mail request, which includes following-up with department managers regarding ETA’s on orders.
o Work closely with in-house mail carrier on shipments, rush orders etc.
o Distribute and record all parking tags that were issued, which includes updating the database and files on a daily basis.
o Assist Member Services when needed with Symbolic Adoption shipments and Virtual Membership orders

Reporting
o End of day sales reporting handled daily (type, number and revenue)
o End of day park attendance reporting (Bronx Zoo, Central Park Zoo & NY Aquarium)
o End of day Bronx Zoo field reconciliation (audits, ticket taken sheets etc.)
o Retrieve information when needed by using the Galaxy Gateway terminal/software
o Accurately record and report Membership commission to timekeeper

Inventory Management
o Track & maintain inventory of supplies & Central office collateral (Uniforms, parking tags, receipts paper etc.)
o Issue permanent & replacement cards
o Temporary & Part-time Staff uniforms – Monthly inventory
o Check & balance uniform sales & receipts

Field Operations Support
o Reconciliation - correct field errors in system, re-issue cards
o Onsite customer support when needed (print card, guest pick-up)

Qualification Requirements

Required Knowledge / Skills / Abilities:
  • High School Diploma or GED equivalent required
  • Prior office experience or college level work preferred
  • Proficient in Microsoft Office Suite (word, excel, outlook)
  • Moderate knowledge of computers and/or data entry – must be able to accurately enter data into our database
  • Must be comfortable with handling cash and equivalents - previous cash handling experience preferred
  • Strong verbal and written communication skills
  • Has an independent work nature, needing minimal support and supervision; ability to multi task
  • Highly dependable and reliable
  • Proactive and outgoing
Must be flexible & available to work weekends, holidays & extended hours

Salary Range

$16.50/hour – $17.50/hour
