Brief Summary of Job Description
This position provides support to the director of educator certification and the director of field experiences. Incumbents in this classification perform a wide variety of responsible office support and administrative functions in support of the assigned department or college program. The Office Associate position requires proficiency in the full range of general office services and functions as well as knowledge of the services of their department and work assignment.
Job Duties
- Duties include tracking and admitting students into Teacher Education and student teaching; preparing contracts and setting up student teaching placements; communicating with students, supervisors and schools; lending support for professional development days and supervisor workshops; assisting with tracking and supporting student teacher supervisors with regard to caseload, materials, and communication.
- Greets faculty, staff, students and others by phone, in person or through electronic media. Assesses needs and explains services, processes, procedures and guidelines. Handles requests/transactions or directs the person or matter to the proper sources. Assists in resolving problems and ensuring satisfactory resolutions. Processes various forms or applications and ensures accuracy and completeness; enters, computes, verifies and compiles data and forwards for review/approval or files paperwork.
- Must be computer literate as well as knowledgeable about a variety of office software applications. Creates documents in Word or uses predefined templates and form letters. Creates or maintains files in Excel. May create PowerPoint presentations and use Access or other databases.
- Operates office equipment such as printers, copy machines, fax machines.
- Occasional hiring, supervising, training and monitoring of student workers.
- Other duties as assigned.
Required Qualifications
High school education. Requires excellent Microsoft Office and general computer skills, oral and written communication skills, organizational skills, professionalism, confidentiality, reliability, and interpersonal skills.
Preferred Qualifications
Bachelor’s degree, imaging software experience, previous employment at a university or college. Minimum of five years of office associate experience or an equivalent combination of education and experience from which comparable knowledge and abilities can be acquired.

Schedule
M-F 8 a.m.-5 p.m., 40 hours. Early or late hours required on occasion.
