Position Summary


Perform duties to provide administrative and clerical support for assigned facility and administer facilities maintenance and supply deliveries working within the limits of prescribed routines. Demonstrate the company's core values of respect, honesty, integrity, diversity, inclusion, and safety.

Essential Job Functions

  • Perform general office admin duties; greet customers and visitors, direct to appropriate associate for assistance
  • Distribute mail, send packages and replenish postage meter; keep mail room organized and efficient
  • Order, stock, organize and maintain inventory of office supplies in one centralized location
  • Facilitate the pickup of patient prescriptions
  • Act as point of contact or backup for issues related to facility maintenance as directed or as appropriate; collaborate with facilities to maintain vendor relations and coordinate continuing deliveries of supplies and services
  • Promote, coordinate and organize associate participation in local events to include scheduling, agenda preparation, set up and break down
  • Organize meetings including those for leadership; manage calendar, schedule conference rooms, schedule accommodations and arrange for catering and technology equipment
  • Ensure breakroom is stocked as expected throughout the day including restocking coffee, napkins, utensils, etc. and maintaining a clean appearance
  • Arrange travel as requested; develop itineraries, schedule travel, book ground transportation and arrange lodging/meeting accommodations as requested by authorized associate
  • Process invoices in a timely manner and distribute for approval and to Accounts Payable for processing
  • Provide department support as assigned; serve as primary or back-up for answering facility phones and may support operations with tasks to assist departments with workflow
  • Act as site marketing representative as needed; distribute associate KSP attire
  • Develop documents, spreadsheets and presentations; conduct internet research as requested
  • Respond to assignments provided by management associates; provide administrative services to support the organization's operations
  • Support new hire orientation as assigned; this may include, but is not limited to, creating badges, assembling new hire baskets, drafting new hire/promotion summaries, greeting and escorting new hires, etc.
  • Perform or assist with any operations, as required to maintain workflow and to meet schedules and quality requirements
  • Participate in variety of meetings and work groups to integrate activities, communicate issues, obtain approvals, resolve problems and maintain specified level of knowledge pertaining to new developments, requirements, and policies
  • Perform other related duties as assigned

Minimum Position Qualifications

  • High School Diploma or GED
  • 3+ years administrative support experience
  • Excellence in listening, oral, written and telephone communication
  • Exemplary time and task management skills with strong attention to detail
  • Ability to identify safety hazards, repair requirements and estimate the extent of needed repairs required
  • Ability to prioritize competing demands, shift priorities to meet business needs and manage multiple priorities while meeting time commitments
  • Ability to think and act independently and creatively, maintain professionalism and discretion; maintain confidentiality of sensitive information
  • Ability to be self-tasking and proactive while providing excellent customer service
  • Advanced Microsoft Office skills
