Reports To: Operations Manager
Responsibilities Include:
- Serve as primary client contact on all aspects of program details, payment schedule and progress of registration
- Review sold file thoroughly rechecking costing details and proposal inclusions. Confirm important segments of program itinerary such as functions space at the hotel, key event locations, etc.
- Development of purchase orders for each supplier prior to the 90-day review meeting including all logistics of functions, pricing, and inclusions, update with all changes after review meeting and send to all suppliers, and update with all on-site changes upon completion of trip operation
- Negotiate for best costs for hotel, event food and beverage, entertainment, transfers, activities, etc.
- Prepare and update the program bible and menu grid
- Complete client day-by-day prior to the 45-day review
- Initiate check requests for suppliers as necessary and in a timely manner.
- Confirm trip director travel arrangements to include: confirming air itineraries; hotel accommodations; and requesting advance checks
- Schedule and attend trip director briefings
- Prepare trip director books, assemble all on-site program materials prior to trip operation
- Monitor receipt of post trip reports and route to office for all trips on applicable Operations team
- Works to ensure all costs and any additional dollars incurred during the program are accounted for prior to accounting transfer: inclusive of client billing and supplier payment.
- Administer creative pieces to include: routing and proofing of Winner’s Piece and Social Schedule; ordering “While Away” magnets; completing 10-day creative checklist for all on-site materials; and any other applicable trip inclusions
- Works in conjunction with an Air Planner to communicate client and pax requests to the Air Planner and ensure they are fulfilled.
- Oversee production of travel information kits and monitor PC on deadlines for mailing and pax calls
- Coordinate rooming list information to include: monitor room block usage, making adjustments as necessary; prepares rooming list for hotel including participant special requests and deviations; reconciliation of hotel rooming list; correspond with the hotel on corrections and changes to rooming list
- Assists in the training of the Program Associate and Program Coordinator role
- Arrange and confirm all site inspections, if applicable. Negotiate all terms, costs and air seats.
- Attending pertinent office visits for learning of information
- Communicate with Operations Manager through weekly meeting on daily priorities and status of programs
Job Skills Required:
- College Degree
- Proficient computer skills including Microsoft Office
- Highly organized and detail-oriented
