The Medical Record Specialist is responsible for providing general clerical support and excellent customer service in the Medical Records department with the primary duties of retrieving, filing, and delivering medical records and their components in a timely manner and in accordance with State, CMS, HIPAA, and HHS regulations.

  • Location: Avon, CO.
  • Full time, year round; non-exempt eligible for benefits

- Compensation: starts at $21/hr. - compensation offers will increase from this base rate based on health care or applicable customer service experience.

  • Start Date: Spring/Summer 2023
  • As a condition of employment, The Steadman Clinic requires proof of COVID-19 vaccination of all clinical and non-clinical staff.

Major responsibilities/Essential Functions:

  • Demonstrate knowledge and understanding of the Health Information Portability and Accountability Act (HIPAA) and HHS ordinances.
  • Answer inquiries from medical staff, department personnel, and billing personnel, regarding general medical record inquiries; obtain medical records from all platforms and providers as needed.
  • Resolve any problems with clinic staff regarding missing medical reports or medical records; order charts from off-site storage when needed.
  • Arrange and scan medical records and reports and ensure accuracy and completeness of all records.
  • Enter new reports and data into the electronic medical record system on a daily basis for patients.
  • Perform routine qualitative analysis of medical records daily.
  • Review and screen incoming records for appropriate documentation.
  • Perform routine file maintenance of medical records; burn imaging disks for patients and consults.
  • Assists with maintenance and care of departmental facilities, equipment and supplies. Informs supervisor of items not in stock. Alert supervisor to malfunction of office equipment.
  • Ensures all patient documentation is kept up to date and in a professional manner according to clinic protocols.
  • Ensure accuracy and integrity of the medical record prior to billing.
  • Maintain confidentiality of all medical, financial, or other sensitive materials and information in printed, electronic, or verbal form.
  • Access and use the minimum necessary patient identifiable information to perform job responsibilities and duties and only for authorized purposes.
  • Maintain good working relationships within the department and with other departments.
  • Other duties as assigned.
Requirements:
  • High School Diploma or equivalent required; one year of clerical experience in a medical facility.
  • Demonstrated excellent customer service and communication skills.
  • Proficient at operating computers and data entry skills.
  • Completion of medical terminology, privacy, or HIPAA course preferred.
  • Excellent organization, communication (both written and verbal), and interpersonal skills required.
  • Proven history of ability to multi-task and work in a fast paced environment; excellent critical thinking skills, ability to work independently, and manage time effectively.
  • Demonstrated problem solving and work flow management skills required.
  • Must be energetic, quality driven and have proven ability to be productive member of a cohesive team of peers dedicated to providing optimum patient care.
  • Must maintain a professional attitude towards patients and an excellent and collegial working relationship with other Steadman Clinic, Steadman-Philippon Research Institute, and hospital personnel in involved in delivering patient care.
