A well-established high-profile board certified facial plastic surgeon in Beverly Hills is seeking an experienced Practice Administrator to join our team.
The Practice Administrator will play a critical role in defining and driving strategic, operational and organizational objectives as well as administer the daily work flow of the medical practice. The Administrator will work on a range of projects and processes, oversee operations and develop/implement strategies to grow several new services and new product offerings within the medical practice.
Essential Functions of the Position:
- Possess an in depth understanding of business/accounting function including: practice budgets, A/P, A/R, cash flow, payroll function, financial statements and daily/monthly banking activities.
- Act as practice lead with regards to organization, staffing and business function
- Act as HR lead by providing employee reviews, new employee on-boarding coordination, training and paperwork, implementation of employee handbook, employee schedule and vacation schedule, keeping employee files up to date, provide employee disciplinary structure, administer benefit plan including 401K, health insurance, and workers compensation
- Develop and implement office policies and procedures
- Supervise office staff, including receptionists and medical assistants
- Liaise with doctors, patient liaison, patient coordinators, and medical assistants to identify potential office dysfunctions and correct these issues, leads monthly staff meetings
- Liaise with IT support on all IT issues including repairs and orders
- Promote and implement employee training and policies in collaboration with the Practice Brand Manager which further the five star hospitality standards of the practice.
- Promote and implement high level sales practices in collaboration with the sales and marketing team that further the strategic financial objectives of the practice.
- Possess significant knowledge of patient management software including scheduling, marketing and inventory features of the software. Serves as primary contact and expert on patient management software (PatientNow, Nextech)
· Ensure compliance with current healthcare regulations, medical laws and high ethical standards. Collaborate with Patient Care Coordinator regarding doctors licenses, DEA, credentialing and hospital privileges
- Schedule training of staff by internal and external professionals.
- Manage and direct time lines and budgets related to new services and new product offerings.
- Reconcile daily closing reports, correct issues in patient management software (PatientNow, Nextech), ensure financial hardware (ie. cc terminal) is in working order, and implement strong financial protocols as needed.
Job Qualifications:

Ø Degree in Business Management or Business Administration required
Ø Minimum 5 years work experience in office administration required
Ø Excellent interpersonal and communication skills
Ø Demonstrated ability to lead people and get results from your team
Ø Minimum 5 years-experience creating marketing and sales objectives and leading sales team to success
Ø Strong computer proficiency, pro-level user MS Office, prior in-depth knowledge of Patient Management software and data-base software
Ø In depth understanding of QuickBooks software, financial statements and creating budgets
Ø Ability to plan ahead, organize and manage multiple priorities
