We are currently seeking a Medical Office Manager for a full-time position in our Malibu, California location.

Basic Function of the Role: to coordinate operations of the administrative office, to train and lead compliance and Joint Commission service meetings with staff, to oversee client records monitoring, to oversee personnel credentialing and HR duties, responsible for Quality Assurance Officer Duties and coordinate financial systems.

Job Duties and Responsibilities:

  • Take incoming sales/admissions/program assessment and pricing calls offered by Serenity from potential clients and be able to explain the differences between PHP, IOP, and OP programs
  • Know all therapists and Serenity service providers. Keep all contact and HR information current.
  • Open office daily
  • Greet clients
  • Keep office tidy
  • Keep Kitchen clean and organized/all staff and safety requirements updated
  • Check daily for any mail and sort bills/insurance docs to scan to vendors, finance team, and project manager.
  • Sets up financial file upon intake for all clients.
  • Verification of insurance benefits.
  • Coordinate ledger (including posting payments and determining discrepancies) for billing and forward to accountant.
  • Oversees receivables, including follow-up for insurance claims and private pay receivables.
  • Oversees preparation of marketing packets.
  • Coordination of managed care contacts.
  • Oversees petty cash.
  • Oversees purchases and inventory for clients and office.
  • Supervises/directs front office staff.
  • Oversees client records (quantitative audits, storage, organization and reports findings to Committee of the Whole).
  • Oversees personnel files.
  • Oversees credentialing process and files.
  • Oversees contracts with outside agencies and consulting professionals.
  • Financial admission papers with clients.
  • Other duties as assigned by CEO.
  • Conducts In-Service and Compliance meetings for staff.
  • Oversees all Quality Assurance duties as the CEO's appointed Quality Assurance Officer.
  • Assists with interviews, scheduling, marketing, outreach, reviews, outcomes and any other area where assistance is needed.
  • Conducts admissions.

Requirements:

  • Minimum of two years financial and clinical experience
  • Prefer to have experience working in a residential or outpatient treatment center or medical facility
  • Prefer clinical experience, legal experience, or operations experience
  • Experience using G-Suite, Office 365, etc,
  • Demonstrated history of professional growth and development
  • Self-motivated and able to build rapport with clients in a mental wellness setting

Beneficial Skills & Experience:

COMPUTER SKILLS: ability to keep up the Drop Box folders with all information and skills in following areas: QuickBooks, Excel, Word, Web skills to make changes to the company web site to keep it current, Mac Gmail/google/google calendar

SCHEDULING: assist with back up support to team scheduler and office manager will know availability of therapists and systems of protocol with cancelation policy and approved with management.

FILING, RECORDS, AND BILLING: maintain all HR files to be current in regard to certifications and medical clearances. Policy updates, monthly DHCS regulation requirements, and stay orderly and current all areas. Ability to work with and be a bookkeeper for weekly billing for clients, process refund amounts to clients after Insurance company made payments, supply billing amounts for each client. Insurance verification and weekly reporting.

JOINT COMMISSION: maintain office for current JCAHO standards according to the Joint Commission Policy & Procedure Binder. Continue monthly follow-ups on the portal for updates to policies. When there are updates, update the policy and add it to the policy binder and email to all staff as an in-service training with signatures of all staff as soon as possible.

EMR: ability and experience with Electronic Medical Record and be able to train staff on the EMR system for client notes and client files and be able to explain to new therapists how to navigate all pertinent functions for their position. Enter client info, upload, and label all client documents to the correct file
