JOB SUMMARY
The Coordinator, Marketing Operations will support all aspects of operational planning across the marketing department supporting Scholastic Book Fairs. The Coordinator of Operations will support day to day operations, including contract creation, invoice uploading and tracking, project assigning, and organization of collaboration tools.
Scholastic Book Fairs are wondrous in-person experiences that empower kids to discover books for themselves. Taking place in schools across the country and rooted in Scholastic’s greater mission to use the power of books for the betterment of all kids, Fairs bring entire communities together in fundraising and resource give-backs for the whole school while providing inspirational moments of joy that impact young readers for the rest of their lives.
This position reports into the Manager, Marketing Operations.
RESPONSIBILITIES
  • Oversee invoicing process from receiving, uploading to Catalyst, tracking actuals and ensuring payments in a timely manager
  • Manage creation and organization of all contracts for freelancers and vendors
  • Manage all assignment communication and organization
  • Manage creation of jobs in project management tool, such as Workfront and Asana
  • Maintain organization of google drive and project folders
  • Acts as point person for office supply orders and technology requests from the team
  • Maintains agenda for marketing staff meetings
  • Support onboarding process for marketing team
  • Coordinate with the Marketing Procurement and Production team on daily operations as needed
  • Support teams with administrative tasks such as travel, expense reports, and event planning
  • Support implementation of Digital Asset Management system
Qualifications
JOB REQUIREMENTS
  • Proven self-starter with a great attitude.
  • Highly organized, collaborative with the ability to work under pressure, set priorities, handle multiple projects and meet tight deadlines
  • Excellent verbal and written communication
  • Strong desire to work for a Scholastic and drive brand affinity
  • Working knowledge of Airtable, Microsoft-based software: Outlook, Word, Excel, PowerPoint and GSuite
Required Education
  • Bachelor’s Degree
  • 2+ years’ experience in marketing or an operations position
